GENERAL PURPOSE The Customer Programs & Sales Incentive Coordinator is responsible for managing customer programs such as rebates, discounts, and program letters, as well as designing and administering sales incentive programs and commissions for internal sales teams and representative firms. This role ensures accurate and timely program execution, payment processing, and effective collaboration with cross-functional teams to support business objectives. DUTIES AND ACCOUNTABILITIES
- Customer Program Management:
- Administer customer programs, including rebates, discounts, and program letters, ensuring compliance with contractual terms.
- Collaborate with Sales, Product Management, Accounting and Customer Care teams to manage program execution and support customer-specific needs.
- Coordinate the issuance and tracking of program letters and rebate documentation.
- Monitor and analyze program performance to ensure proper allocation of rebates and discounts.
- Incentive Program & Commission Management:
- Develop, implement, and manage sales incentive programs, including bonuses and other rewards.
- Administer and track commission payments for both internal sales teams and external representative firms.
- Collaborate with Finance, Sales, and HR to align incentive and commission structures with business strategies and compliance requirements.
- Payment Processing & Verification:
- Accurately process, verify, and reconcile rebate, discount, incentive, and commission payments using SAP, Power BI & Salesforce.com
- Investigate and resolve discrepancies in payment calculations or reporting, and address issues promptly with stakeholders.
- Data Analysis & Reporting:
- Analyze program performance and commission metrics, providing actionable insights to sales leadership.
- Generate and distribute regular reports on customer programs, incentives, commissions, rebates, and discount utilization.
- Collaboration and Support:
- Partner with Sales, Marketing, Customer Care, and Product Management teams to ensure customer programs, incentives, and commissions align with broader business initiatives.
- Act as the primary point of contact for questions and support related to customer programs, sales incentives, commissions, and program letters.
- Process Improvement:
- Identify opportunities to enhance the efficiency and accuracy of customer program and incentive administration processes.
- Develop, document, and implement procedures for managing customer programs, incentives, and commissions.
- Compliance and Documentation:
- Maintain documentation for all programs, including eligibility criteria, payout structures, and participant records.
- Ensure compliance with company policies, contracts, and applicable regulations.
JOB REQUIREMENTS Essential Knowledge, Skills, and Abilities:
- Strong understanding of customer program management (rebates, discounts, and program letters), incentive program design, and sales commission processes.
- Proficiency in ERP systems (SAP) and CRM platforms (Salesforce.com).
- Exceptional analytical skills with a high degree of accuracy in data processing and reconciliation.
- Excellent communication skills, both written and verbal, with the ability to clearly present complex data and concepts.
- Proven ability to solve problems, manage multiple priorities, and perform effectively under tight deadlines.
- Strong collaboration and interpersonal skills, with the ability to work cross-functionally and independently.
Minimum Education and Experience Required:
- Associate degree in Business, Finance, Accounting, or a related field, with at least 3 years of experience in sales operations, customer program administration, or incentive program management.
- Direct experience using SAP for payment processing and Salesforce.com for customer relationship management.
Preferred Qualifications:
- Bachelor's degree in Business, Economics, or Accounting.
- Experience managing customer programs (rebates, discounts) and incentive/commission structures in a sales-driven environment.
- Advanced Excel skills, including data analysis and reporting.
WORKING CONDITIONS/PHYSICAL DEMANDS
- General office environment with the majority of the day spent sitting and performing computer-based tasks.
- May require occasional travel to company facilities or for team meetings.
