Job Summary:

The mission of the Division of Business Services (DoBS) is to support UW-Madison's institutional responsibilities of higher education and research. Business Services offers a broad range of services and transaction processing to campus, including accounting, internal auditing, risk management, purchasing, materials distribution and surplus property management, and tuition and student loan services.

Located in the Division of Business Services, Accounting Services provides financial services and management for UW-Madison, including the processing and reporting of accounting data. The department develops and implements financial policies and procedures for university-wide business processes for compliance with tax laws and other Federal and State regulations.

Under the supervision of the UW-Madison Travel and Card Team Manager, this position is responsible for reviewing, approving, and advising on Shared Financial System and Workday transactions, including higher complexity expense reports and purchasing card transactions. In addition, this position may be responsible for data analysis, communication, and aspects of the Wisconsin Foundation and Alumni Association billing process. This centrally located position will work closely with other Division of Business Services staff, and faculty, staff and leadership from UW-Madison schools, colleges, and auxiliaries.


Responsibilities:
Primarily reviews, approves, and advises on a variety of complex financial transactions. Reconciles transactions. Maintains financial records, provides administrative processing support, and provides customer service for staff and customers in an assigned program area to support program financial management. Recommends controls and process improvements and troubleshoots complex financial errors. May be a lead or resource for others in the unit.

  • 60% Reviews and approves complex transactions and assigns funding codes in accordance with established rules, regulations, and policies
  • 5% Reallocates expenses to appropriate funding strings
  • 10% Drafts communications and reports and maintains organization of varied records to provide administrative support within a specified work unit
  • 15% Answers complex fiscal questions and provides information based on set materials and standards to various audiences
  • 5% Reviews transaction processing internal controls and recommends policies and procedures
  • 5% May train staff on financial processes and best practices

Qualifications:

Required:
- Excellent oral and written communication skills. Ability to communicate in a clear, business-like, and courteous manner with a diverse internal and external customer base.
- Excellent organizational skills and techniques.
- Ability to work independently, prioritize work duties, and demonstrate effective time management skills to meet Disbursements, Business Services Division, University, state, and/or federal deadlines.
- Ability to multi-task and transition quickly between priorities to address specific situations.
- Ability to participate as an effective team member by contributing to the efficient operation of the work unit and providing constructive feedback for continuous improvement in a manner that is supportive of Disbursements and the Business Services Division.
- Strong human relations and interpersonal skills to maintain effective, professional, and cooperative working relationships with managers, supervisors, coworkers, and all internal and external customers.

Preferred:
- Experience working with ERP software applications
- Experience working with expense reporting/reimbursement
- Experience working with purchasing card transaction reconciliation
- Experience in higher education accounting
- Proficient in using Microsoft Excel


Work Type:

Full Time: 100%

It is anticipated this position will be remote and requires work be performed at an offsite, non-campus work location.

Employee will be required to make irregular visits to the UW-Madison campus for occasional meetings, events, etc. UW-Madison will not reimburse travel expenses between the employee's remote workspace and the UW-Madison workspace.
