Academic Advising Systems Specialist I

The employee in this position reports to the ERP Specialist at the College of Graduate Studies (CGS). The person is responsible for business process implementation and Graduate Plan of Study system support related to graduate academic advising and other PeopleSoft modules at UCF. This position carries responsibilities that are university -wide in scope affecting all graduate students, graduate faculty and college campuses.

Responsibilities:


  • Serve as primary contact for Graduate Plan of Study support, updates, and maintenance.

  • Develop and deliver training materials and system documentation for Academic Advising (AA) and other PeopleSoft system modifications.

  • Serve as Academic Advisement (AA) lead for CGS, coordinate all graduate processes procedures and provides subject matter expertise to UCF IT, all academic colleges and schools, academic departments and administrative departments.

  • Establish procedures and guidelines to support the standard use of AA functionality across all graduate programs.

  • Act as liaison with CGS and UCF IT to coordinate and monitor processes and implementation of new program development, upgrades, testing of patches and fixes.

  • Coordinate operational system troubleshooting and reporting of CGS-related issues to UCF IT.

  • Direct and conduct continued development of existing AA module customizations and related systems to support CGS and all academic colleges business processes and operations.

  • Maintain mapping tables for AA, PS, CGS web applications and other systems as needed.

  • Coordinate and consult on development and procedures for assignment of security for both systems and operator level access to all support systems.

  • Ensure reporting and degree audit services are not compromised (colleges, IR, students, administration) and quality of data is maintained.

  • Collects and analyzes data internally and externally to ensure data integrity and efficient and accurate use of the system.

  • Ensure approved policy is implemented to the Graduate Program of Study system.

  • Review UCF Graduate Catalog annually and record changes toward out the year for changes to degree programs, review critical tracking requirements annually and update critical tracking audits accordingly.

  • Coordinate and consult on development and procedures for assignment of security for both system and operator level access to all support systems.

  • Support the PeopleSoft modules and processes for Admissions, Student Records, Graduate Financial.

  • Represents the university at university/SUS and inter-institutional committee's.

  • Other duties as assigned.


Minimum Qualifications:

Bachelor's degree; or High School Diploma (or equivalent) and 4 years of relevant work experience in lieu of degree or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information.

Preferred Qualifications:


  • Demonstrated experience in academic advising and student support.

  • Experience in managing and conducting degree audits, ensuring compliance with academic policies. Proficiency is using the PeopleSoft Student module especially for academic advising and student records.

  • Experience working within higher education institutions, particularly in roles related to admissions, registrar's office, academic advising, or student affairs.

  • Experience in developing and delivering training programs and materials for academic staff and students.

  • Skilled in project management, capable of handling multiple tasks and deadlines.

  • Strong technical aptitude and familiarity and educational technology tools.
