We are actively seeking a highly motivated, innovative and experienced individual to join our team as the Public Policy and Government Relations Assistant. Compensation will be commensurate with experience.

Position Summary:

The Public Policy and Government Relations Assistant to the Vice President of Public Policy and Government Relations ("VP") completes a broad variety of administrative tasks for the VP including, but not limited to: managing an active calendar of appointments, meetings and travel; composing and preparing correspondence that is sometimes confidential; providing administrative and research support to a policy team, including tasks like gathering information, drafting policy documents, attending meetings, tracking legislation, and coordinating with stakeholders to facilitate the development and implementation of policies within the organization. The accountabilities of this position are generally performed under deadline and volume pressure and frequently involve handling a wide variety of confidential matters with discretion.

Responsibilities:

  • Work closely and effectively with the Vice President of Public Policy and Government Relations and the Senior Director of Public Policy and Government Relations to ensure understanding of priorities and expectations.
  • Oversee the VP's calendar of work appointments, meetings, travel, etc., providing meeting prep materials and keeping VP meetings on time and minimizing interruptions and delays.
  • Arrange detailed travel plans, itineraries, and agendas; compile, and maintain travel records, expense reporting; and compile documents for travel related meetings.
  • Prepare meeting agendas, taking notes, and distribute meeting summaries.
  • Assist in contacting and coordinating events with relevant stakeholders, including advocacy groups, industry representatives, and government officials.
  • Assist in conducting research on policy issues, including gathering data, analyzing reports, and summarizing key findings.
  • Monitor legislative developments and track bills related to relevant policy areas and maintain policy-related databases and filing systems.
  • Assist in creating policy documents, proposals, memos, briefs, and presentations with clear and concise language, incorporating feedback from team members.
  • Contribute to the development of policy strategies and implementation plans.
  • Prepare reports summarizing policy updates, key findings, and progress on initiatives.
  • Manage administrative logistics for the Policy department including scheduling meetings, completing expense reports, booking conference rooms, conference calls, preparing presentations and documents, and scanning documents.
  • Conduct research on topics such as local, state, or federal legislation.
  • Analyze research findings and writing evaluations, supporting an organization's policy and technical assistance strategy.
  • Preparing policy papers and presentations for internal staff, government officials, and other policy professionals.
  • Research, compile, assimilate, and prepare sensitive and confidential documents.
  • Plan and coordinate arrangements for professional meetings, conferences and policy-related events.
  • Assistance in managing external events, such as: AIDS Watch, National Trans Visibility March, Caucus Weekend, Somos, ETE Summit and more as those events become known to the Policy Dept.
  • Perform other duties as assigned.

EDUCATION REQUIRED

  • Bachelor's degree in public policy, political science, law, related field or an equivalent combination of education and relevant work experience.

EXPERIENCES AND/OR SKILLS REQUIRED

  • Three years of experience in support/coordinator role, preferably in a non-profit organization.
  • Demonstrate ability to work independently and to know when to seek support.
  • Demonstrate the ability to build relationships with stakeholders, including staff, State officials and external partners.
  • Demonstrate excellent verbal and written communication skills.
  • Demonstrate strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Exhibit proactive approaches to problem-solving with strong decision-making capability.
  • Demonstrate proficiency in Microsoft Office (Word, Excel, Access, PowerPoint, Project and Outlook) and other Media web platforms.
  • Demonstrate evidence of the practice of a high level of confidentiality.
  • Demonstrate cultural humility and understanding and sensitivity to multi-cultural values, beliefs, and attitudes of both internal and external contacts.
  • Demonstrate appropriate behaviors in accordance with the organization's vision, mission, and values.
