Widener University is currently seeking a Clinical Fieldwork Support Specialist in the College of Health & Human Services. This role provides administrative support across the College. Primary areas of support will be to the Clinical Education and Fieldwork Team. This position reports to the Dean of the College of Health and Human Services. Duties and Responsibilities: (include but are not limited to) Essential duties:
- Function as a member of the College's Clinical and Field Support Specialist Team
- Contribute to a welcoming and inclusive environment for all constituents through effective communication and interactions with persons of diverse backgrounds and abilities.
- Work collaboratively within a highly adaptable team addressing common and unique needs for clinical and fieldwork across multiple programs adhering to internal (Widener) and external (accreditation) requirements.
- Self-directed in use of CRM/database systems such as Exxat, CastleBranch, Canvas, etc.
- Responsible for accurate and up to date CRM/database management of the centralized clinical and fieldwork contracts across the College.
- Responsible for timing and complete CRM/database management of clinical education and fieldwork placements across the College.
- Effectively manage and maintain confidential information.
- Maintenance of student files to ensure compliance with the requirements of the clinical education and fieldwork programs, including but not limited to health information, certifications, background checks, and pre-clinical forms. Identify deficits and seek remediation with individual students.
- Proactively identify challenges and demonstrate initiative in communicating with the team, posing potential solutions and participating in the resolution of the challenge.
- Work both independently and collaboratively with enthusiasm and flexibility for projects and challenges.
- Actively contribute to the functions of the team including team meetings, problem-solving, and strategizing.
- Participate in the coordination of communication, within and outside the university, as it relates to the clinical education and fieldwork programs - including but not limited to communication and coordination with contracted facilities, College Directors of Clinical Education and Field, host clinical/field instructors/preceptors, fieldwork faculty, and participating students.
- Coordinate meetings and travel arrangements for Clinical Education/Fieldwork Directors to visit and evaluate new and existing sites as needed and as required by accreditation.
Secondary Responsibilities:
- Support all other members of the Clinical and Field Support Specialist Team, including taking over or sharing responsibilities at times of significant volume or need throughout the yearly cycle, by being cross-training on all aspects of the Clinical and Field Support Specialist Team for all programs.
- Assist in the coordination of selected special events as needed.
MINIMUM QUALIFICATIONS: (Education/Training and Experience Required):

Required:
- Associate's degree or high school diploma and two years of administrative experience in a service-oriented environment or any combination of experience, training or education, which provides the necessary skills, ability and knowledge.
- Intermediate to advanced proficiency in Microsoft Office including programming and use of Excel spreadsheets.
- Competence with data entry and ability to learn university Colleague/Slate systems, Office365, Teams, Canvas, and OneDrive.
- Superior interpersonal and teamwork skills with a willingness to share responsibility and collaboration in setting and achieving team goals.
Preferred:
- Three+ years of administrative assistant experience in a service-oriented environment
- Prior experience in the use of database management systems
- Prior experience working in Exxat, CastleBranch, or related CRM systems.
Physical Requirements and/or Unusual Work Hours:
- Job requires ability to sit and work at computer for long periods.
- Ability to move between offices, floors and buildings on campus.
- Some evenings and weekends may be required for events.
