Job Summary

As a member of the Business Office Team, provide high-level account management and financial support to the Blue Cluster Administration. Research and communicate policy interpretation of financial and personnel regulations and of university policies and procedures. Perform all accounting transactions for assigned set of accounts related to the Cluster's academic departments, faculty, programs, and operating units including federal, state, cross campus, event, agency, CoR grants, and gift funds. Track all Cluster balances and expenditures; review and reconcile administration, personnel, and departmental operational ledgers; resolve discrepancies; and process adjustments incompliance with university accounting policies and procedures. Work with Cluster Administration and Principal Investigators (PI's) to understand new funding sources analyze programmatic needs and make recommendations to budgetary items. Review and reconcile all Cluster Purchasing Card transactions, process deposits, and assist with fiscal closing processes. Report and process all departmental Inter-location Transfers for Awards (ILT) and Intercampus Orders/Charges (IOC).

Lead and recommend changes and/or options to enhance or improve daily business processes and procedures. Recommend methods and procedures to meet multiple department goals. Lead and develop training for Business Student Assistants team. Select, hire, and train student assistants assigned to unit. Supervise in monitoring daily workload; make adjustments based on staffing and business needs. Communicate with Business Office Manager and CAO to resolve issues and coordinate operations.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Experience using a computer to create and modify spreadsheets and databases, word processing skills and knowledge of automated financial systems such as MS Word, Excel, Outlook, Access, PowerPoint.
  • Experience with financial analysis, fiscal administration, forecasting and strategic planning to analyze and compile financial data and reports.
  • Experience using automated financial and payroll/personnel systems, multi-user computer network systems and applicable financial management software. Experience with budget preparation based on narrative methodological research plans and designs, analysis, and forecasting to control complex budgets.
  • Experience of generally accepted accounting principles and related accounting policies and procedures to manage and monitor multiple accounts.
  • Experience using Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and Outlook as communication, calendar, and reporting tools.
  • Skills to recognize problems with cost recovery, invoices, accounts, and payroll and initiate timely and appropriate action to resolve them.
  • Written, verbal and interpersonal skills, including the skill to interpret, understand and follow verbal and written instructions, and to respond appropriately. Attention to detail, using appropriate grammar, punctuation, and spelling in written work.

Preferred Qualifications

  • Experience with KFS, purchasing (including AggieBuy and PCARD), accounts payable and receivables, and bookkeeping.
  • Experience with Aggie Travel.
  • Demonstrated experience in training and supervising employees who have minimal work experience.
  • Demonstrated knowledge of UC business fiscal principles and policies; knowledge of using various UC financial systems for the purpose of budget control and implementing accounting principles; use of budgeting process, management reports, accounting, personnel, payroll, and purchasing systems.
  • Demonstrated skills to identify problems, to gather related information from diverse sources, to analyze the quantitative aspects of fiscal and budgetary issues, and to develop meaningful solutions to specific problems.
  • Demonstrated time management and organizational skills to plan, prioritize, organize, coordinate, and direct numerous and varied projects and activities simultaneously and efficiently, and to meet set deadlines.
