Job Description:

The Legal Recruiting Coordinator is responsible for supporting the firm-wide legal recruiting team by managing and executing key aspects of the recruitment process. This role will ensure consistency across offices, delivering high-quality recruiting services while maintaining strong relationships with both candidates and internal stakeholders. The coordinator will assist with job postings, candidate sourcing, interview scheduling, and pre-onboarding, as well as maintaining accurate tracking of applicant data. A hybrid work schedule is available for this position.

Responsibilities:

  • Coordinate with firm-wide legal recruiting team on department initiatives, as well as recruiting and integration efforts.
  • Provide an exceptional recruiting experience to candidates from start to finish beginning with initial touch point through acceptance and onboarding, including but not limited to:
    • Coordinate with Recruiting Manager(s) to obtain approval for new hire requests, develop job descriptions, and manage all related search logistics.
    • Publish positions in appropriate venues and manage the application process.
    • Source legal candidates through various methods including referrals and external recruiters.
    • Respond to inquiries from candidates and search firms regarding open positions.
    • Prescreen resumes and gather pertinent information prior to circulating for internal review. Ensure each candidate meets firm requirements.
    • Prepare candidate overviews for circulation.
    • Recommend interviewers, schedule interviews with NP attorneys; compile and distribute interview evaluations and coordinate travel arrangements as applicable.
    • Respond to candidate correspondence regarding interview status.
    • Coordinate due diligence process for all candidates and draft offer package materials.
    • Work with Recruiting Manger(s) to facilitate onboarding and integration process for new hires.
  • Manage maintenance of recruiting database and candidate files on a continuous basis.
  • Manage legal recruiting inboxes and ensure appropriate correspondence is produced and records are maintained.
  • Conduct competitive intelligence research projects.
  • Lead industry survey responses and maintain various legal recruiting documents including monthly reports, budgets and meeting agendas.
  • Oversee search firm agreement process by working directly with agencies prior to meeting agency candidates. Seek guidance when/if there are substantive changes to the business/legal terms.
  • Coordinate and keep abreast of compliance issues by ensuring job ads are posted in the required locations and are collecting a diverse pool of qualified applicants.
  • Process expense reimbursements and invoices.
  • Serve as initial in-person contact for local candidates, monitor interview schedules and be a firm ambassador.
  • Perform other recruiting team duties as assigned.

Job Requirements:
  • 1-3 years of experience in recruiting or related function for a professional services organization or law firm required.
  • Bachelor's degree or equivalent work experience.
  • Team oriented; willingly offers assistance and takes appropriate initiative.
  • Develops and maintains strong working relationships with internal and external clients.
  • Exhibits exceptional communication and organizational skills as well as strong attention to detail.
  • Self-starter with ability to remain self-directed and self-motivated with minimal supervision.
  • Strong project management skills with ability to work in a fast-paced environment, managing multiple priorities and competing demands.
  • Handles all confidential information with utmost discretion.
  • Demonstrates highest standards of integrity and respect.
  • Exercises good judgment and demonstrates basic critical thinking skills
  • Possesses strong technical skills, including proficiency in Microsoft Office Suite, databases, etc.
  • Must be highly responsive to both internal and external clients.
  • Flexibility to work overtime as needed.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, are as follows.

  • Boston, MA: $59,038 to $81,107
  • Chicago, IL: $56,578 to $77,727
  • New York, NY: $61,497 to $84,486

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody's good faith estimate of the annual salar(ies) it reasonably expects to pay for the position at the time of this posting.
