Position Description

We are looking for an Executive Assistant to provide high-level administrative support to Kearfott Corporation's V.P. Operations/General Manager and senior staff. As an Executive Assistant, your primary task will be to support the Operations Organization and when called upon, you will be the one to organize and maintain the V.P Operations/General Manager's schedule and assist by performing a variety of administrative tasks. The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried out efficiently and in a timely manner. Applicant must be good at time-management and must possess multitasking abilities.

Essential Functions

  • Provide administrative support to Kearfott's V.P. Operations/General Manager and other leadership staff, as required.
  • Maintain V.P. Operations/General Manager's agenda and assist in planning appointments, meetings, conferences etc.
  • If requested, attend meetings and keep minutes.
  • Handle confidential documents ensuring they remain secure.
  • Maintain and file electronic and paper records ensuring information is organized and easily accessible.
  • Receive and screen phone calls and redirect them appropriately.
  • Arrange travel and accommodations.
  • Maintain log of approved drivers for company vehicles.
  • Monitor office supplies and negotiate terms with suppliers to ensure cost-effectiveness.
  • Hold corporate credit card to make multiple purchases required for the Black Mountain and Matamoros facilities.
  • Create requisitions and purchase orders in Kearfott's Industrial and Financial system.
  • When requested, coordinate lunch catering for customer and other inside visits.
  • Keep, log, and administer all manufacturing stamps.
  • Prepare presentations or reports as assigned.
  • Collect, log, distribute, and maintain all continuous improvement suggestions.
  • Perform additional duties as assigned.

Education & Experience

  • Associates Degree in Business Administration or related field required.
  • Excellent oral and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extremely proficient with Microsoft Office Suite with the ability to learn new or updated software.
  • In-depth knowledge of office management as well as technical vocabulary of aerospace and defense industry.
  • Familiarity with basic online research methods and reporting techniques.
  • At least ten years of related experience required.

This position is located 100% onsite at our Black Mountain NC facility. Relocation assistance is not available.
