Law and Policy Operations Analyst to join our team in

The Role:
The Law and Policy Operations Analyst plays a key role in supporting foundational tools and capabilities to position Law and Policy as a future-fit, data-driven department. In this role, you'll be at the intersection of technology, finance, and legal strategy, providing critical support for our department's operational success. The Analyst will participate heavily in financial management, technology administration and innovation in addition to running operations and continuous improvement initiatives.
The successful candidate will bring a blend of technical aptitude, financial acumen, process management skills, and a collaborative mindset. The role will support key legal technologies, optimize financial processes, and drive operational improvements to help our legal department run smoothly and strategically. You'll work closely with cross-functional teams, including IT, Finance, Accounts Payable, Supply Chain, and external partners, to enhance our technology systems, streamline budgets, and uncover insights through data analytics.

Responsibilities:
Legal Technologies
- Administer and Innovate with Legal Technology: Provide front-line support and administration for key existing Law & Policy applications, including Cox's enterprise legal matter management and legal service request systems. Proactively explore new legal technologies, such as AI-based contract review and automation tools, to improve efficiency and scalability.
- Facilitate Technology Integration and Change Management: Collaborate with Law & Policy Operations team members, Integrated Business Technologies (IBT) Project Management, and application vendors on seamless application implementations, integrations, user adoption, maintenance, and continuous improvement of legal technology. Stay current on legal tech trends and best practices and recommend innovative solutions for continuous improvement.
- Data Management and Analytics: Implement and manage data hygiene standards within legal systems. Support the transition toward predictive analytics by preparing data for analysis and collaborating with analytics teams to explore insights into legal trends, risks, and opportunities.
Financial Management
- Effectively Manage Enterprise Expenses: Support the department's expense management efforts, including first-line monthly expense reviews and tracking expenses to budget. Collaborate with Legal Operations team and FP&A team members to review and manage department expenses as well as monthly, quarterly, and annual financial processes. Where necessary, coordinate the prompt financial reclassification of incorrectly charged expenses discovered in expense reviews.
- Optimize Financial Management through Data-Driven Insights: Beyond monthly reviews, leverage data to identify patterns and trends that can inform strategic budget planning and forecasting. Use analytics tools to spot cost-saving opportunities and drive data-driven decisions.
- Facilitate Value-Based Budgeting: Partner with Legal Operations and FP&A teams to implement value-based budgeting and spend-tracking practices, aiming to maximize ROI on legal spend. Contribute to developing metrics that align legal spending with business value and performance outcomes.
- Implement Alternative Fee Arrangements (AFAs): Support efforts to increase flexibility and cost efficiency by coordinating and managing AFAs with outside counsel, including tracking metrics on AFA effectiveness and compliance.
Department Operations
- Drive Continuous Improvement Initiatives: Identify, document, and evaluate department processes, aiming to enhance efficiency, consistency, and scalability. Employ continuous improvement methodologies, such as Lean Six Sigma, to streamline workflows and reduce operational friction.
- Strengthen Data-Driven KPI Reporting: Develop robust reporting processes and leverage data analytics to provide detailed, real-time KPI reporting. Generate insights for internal stakeholders in Law & Policy, IBT, A/P, and Finance. Recommend adjustments based on key trends identified in matter management, spend management, and invoice administration.
- Promote a Culture of Legal Compliance and Efficiency: Partner with external law firms and internal stakeholders to ensure compliance with billing guidelines and to foster best practices. Champion an environment focused on process efficiency, data integrity, and operational effectiveness across all legal activities.
- Support Cross-Functional Strategic Initiatives: Act as a bridge between Legal, Finance, IT, and other functions, helping to harmonize cross-functional projects and align legal operations with broader corporate strategies. Facilitate strategic initiatives that integrate legal services into enterprise-level processes, including digital transformation projects and data security initiatives
- Support the departments outside counsel management strategy, processes, and tools, sharing related knowledge and procedures across the department.
Qualifications:
- Bachelor's degree in a related discipline and 2 years' related experience in a legal environment, either in-house or at a corporate law firm. The right candidate could also have a different combination, such as a master's degree and up to 2 years' experience; or 6 years' experience in a related field.
- Ability to stay current on legal technology trends, assess new tools, and contribute to technology roadmaps.
- Proficiency with data management, analytics and visualization tools (e.g., Power BI, Tableau) to turn legal data into actionable insights.
- Familiarity with agile project management methodologies to support continuous improvements and rapid iteration within legal operations.
- Strong skills in change management to promote technology adoption and process improvements within a legal setting.
- Financial management skills including expense management, review of transaction-level detail, and reading expense reports, P&L statements, and similar finance- and budget-related documentation.
- Excellent verbal and written communication skills, and able to interact well with colleagues of various seniorities, including senior management.
- Demonstrated expertise with MS Office Suite, particularly Word, Excel, and PowerPoint. For Excel, intermediate proficiency or higher to include pivot table production and chart formatting.
- Organized and accurate with excellent attention to detail and a results-driven client service orientation.
- Ability to work both independently and collaboratively in a team environment.
- Ability to work discreetly with confidential and sensitive information and materials.
- Analytical orientation, able to think strategically while also maintaining day-to-day operations and to recognize the business impacts of processes.
- Sound judgment, integrity, and an understanding of general business values and ethics; exercises a professional demeanor.
Preferred Skills:
- Knowledge of legal billing protocols, systems, and policies. Familiarity with outside counsel relationships to corporate clients. Experience with legal electronic billing applications (CounselLink preferred) and Oracle payment systems.
- Experience with additional legal technologies, such as service request tools, contract lifecycle applications, and document- and knowledge-management systems.
- Working familiarity with current technologies, such as AI.
USD 64,200.00 - 96,400.00 per year
Compensation:
Compensation includes a base salary of $64,200.00 - $96,400.00. The base salary may vary within the anticipated base pay range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include an incentive program.
