Description

Essential Duties:



  • Maintains the ship calendar and job numbers for all of New England.
  • Serves as the primary point of contact for all phone inquiries from customers and vendors
  • Serves as primary customer contact for billing and/or administrative issues including contracts for all of New England
  • Liaison with legal and accounting for billing and payment related issues
  • Ensures invoices are processed accurately
  • Ensures payables are coded properly
  • Schedules appointments, meetings, lunches for customers and vendors when necessary


  • Responsible for the day-to-day operations of the office, ordering of office and kitchen supplies
  • Ensures all office equipment is maintained and functioning including copier, fax, and all electronic equipment
  • Assists local timekeeper to ensure payrolls are accurate and timely
  • Sorts, reviews and distributes incoming and outgoing mail
  • Supports the Operations team as needed


  • Other duties and projects as assigned.



Minimum Requirements (Education, Experience, Certifications):



  • A minimum of a High School Diploma or equivalent;
  • 1+ years of experience in an administrative or operational support function;
  • Equivalent combination of education and experience may be considered;
  • Must be able to obtain and maintain Transportation Workers Identification Card.



Knowledge, Skills & Abilities:



  • Ability to communicate effectively in both oral and written English;
  • Strong computer skills including MS Office (Microsoft Excel and Word);
  • Effective customer service skills
  • Excellent interpersonal skills;
  • Excellent time management skills; sense of urgency.



Working Conditions:



  • Office environment, with opportunity to work remotely on occasion
  • Occasional exposure to terminal environment


  • Frequent sitting, occasional walking and standing
