About the Position

Position Description

We are seeking a detail-oriented and experienced Benefits and Payroll Specialist to join our team. This role is pivotal in ensuring accurate payroll processing and efficient benefits administration for our employees. The ideal candidate will have hands-on experience in payroll and benefits functions and a strong understanding of the strategy behind these operations to support organizational goals.

Key Responsibilities

Payroll Administration:

  • Process semi-monthly payroll, ensuring accuracy in timekeeping, deductions, and tax calculations using Paycom.
  • Maintain compliance with federal, state, and local payroll regulations.
  • Address and resolve employee payroll inquiries promptly.
  • Prepare and distribute payroll reports for internal and external stakeholders as needed.
  • Reconcile payroll-related accounts, including benefits, taxes, and deductions.

Benefits Administration:

  • Oversee the day-to-day administration of employee benefits programs, including health, dental, vision, retirement plans, ancillary plans and wellness initiatives.
  • Act as the primary point of contact for benefits-related inquiries, providing timely and accurate information to employees.
  • FMLA, Short-Term Disability and Workers' Compensation processing
  • Support annual open enrollment processes, including communication, enrollment tracking, and system updates.
  • Coordinate with vendors and brokers to resolve benefit issues and ensure delivery of services.
  • Reconcile benefit invoices and ensure accurate deductions in payroll.
  • Participate in audits of workers' compensation, tax filings, 401(k) and related documentation. OR assist with audits related to payroll and benefits.

Compliance and Reporting:

  • Ensure compliance with applicable laws and regulations, such as FLSA, FMLA, ACA, COBRA, and ERISA.
  • Prepare and submit required payroll and benefits reports, including but not limited to, ACA reporting, and 401(k) contributions.
  • Maintain confidentiality and accuracy in handling sensitive employee information.

Collaboration and Strategic Support:

  • Work closely with HR, Finance, and external vendors to align payroll and benefits processes with organizational strategies.
  • Provide insights and recommendations to improve payroll and benefits systems and enhance the employee experience.
  • Assist in developing and updating policies and procedures related to payroll and benefits.

Minimum Requirements

  • 5+ years of experience in payroll and benefits administration.

Critical Skills

  • Familiarity with Paycom or similar payroll/HRIS software and benefits platforms.
  • Strong knowledge of payroll and benefits regulations and compliance requirements.
  • Proficiency in Microsoft Office Suite, particularly Excel.

Education

  • Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field preferred. Equivalent experience will be considered.

Physical Requirements

  • General office demands
    • Prolonged periods of sitting at a desk and working on a computer.
    • Frequent reaching, handling, and fine manipulation for using office equipment, filing, and managing paperwork.
    • Manual dexterity sufficient to operate a keyboard, mouse, and other office tools.
    • Occasional standing, walking, and bending.
    • Ability to lift up to 10-20 pounds occasionally.
    • Vision abilities required include close vision for computer work and reading documents.
