Position Summary:

The Associate of People & Culture will play a key role in supporting and enhancing the day-to-day people operations and organizational functions within the People & Culture Division. This role will manage responsibilities across key People & Culture functions, including but not limited to Benefits Administration, Payroll Coordination, Onboarding & Offboarding processes, Culture initiatives, and overall P&C operational support. The Associate will work with limited supervision, following a structured work plan while taking the initiative to ensure alignment with strategic goals. The Associate is expected to monitor progress, report any deviations, and seek guidance on key issues when necessary while proactively identifying opportunities for process improvement, and institutionalizing best practices.

The ideal candidate is highly motivated, detail-oriented, and capable of delivering outstanding customer service. They will demonstrate initiative, a high level of confidentiality, and professional responsibility while maintaining a positive and collaborative attitude. The Associate of People & Culture will work closely with team members across the division and report directly to the Senior Manager of People & Culture. Additionally, this role requires a capacity to manage competing priorities efficiently, think critically, and contribute to divisional growth and development.

Responsibilities:

The Associate of People & Culture will be responsible for ensuring seamless execution of the following functions within the People & Culture Division:

Onboarding & Offboarding



  • Facilitate the end-to-end onboarding process for new hires, including orientation scheduling, preparing onboarding materials, and ensuring a smooth integration into the organization.
  • Manage offboarding procedures, including scheduling exit interviews, clearance on offboarding checklist and coordination of final payroll and benefits.


Benefits Administration



  • Provide support to the Senior Associate, People & Culture in the administration of employee benefits, stepping in to manage processes during their absence or as needed.
  • Assist with benefit enrollment processes, ensuring smooth communication with employees regarding health, dental vision and other benefits programs.
  • Serve as a point of contact for employee benefits inquiries and assist with resolution, escalating complex cases to the Senior Associate.


401k Administration



  • Manage the 401k enrollment process, ensuring employees are well-informed about their options.
  • Manage all terminations and rollovers.
  • Assist employees with 401k related inquiries and coordinate with third-party providers to ensure compliance and smooth administration.


Vendor and Invoice Management



  • Manage and process payments for all People & Culture vendor invoices, ensuring timely submissions and payments.
  • Conduct regular reconciliation of benefit invoices to ensure accuracy, addressing any discrepancies with vendors promptly.
  • Collaborate with finance team to maintain accurate records for all payments and invoicing related to People & Culture operations.
  • Ensure vendor relationships are maintained professionally, resolving any issues related to invoicing or service delivery.


People Information Systems



  • Maintain and update employee records in the People Information Systems (SCORE & ADP), ensuring accuracy and confidentiality.
  • Oversee and maintain employee data and personnel files ensuring they are accurate, complete and maintain integrity of the people management system of record.
  • Generate reports related to employee data, including tenure, diversity metrics, and payroll reports as requested by management.
  • Assist in system upgrades or implementations to improve efficiency.


Payroll Administration



  • Support the payroll process, ensuring accurate and timely processing of payroll action forms.
  • Assist in resolving payroll-related inquiries and discrepancies.
  • Collaborate with finance team to ensure correct tax and legal compliance in payroll practices.


Performance Management



  • Manage a smooth implementation of the performance appraisal process, including the 90-day review, Goal setting, Mid-year review and Annual Review.
  • Manage electronic record keeping for performance management files, ensuring that files and permissions are accurate.
  • Assist in the coordination and execution of the performance review process, ensuring all timeliness are met for both the mid-year and annual performance reviews.


Rewards & Recognition Administration



  • Manage the administration of the company's rewards and recognition program, ensuring timely communication and delivery of awards.
  • Coordinate recognition events, celebrations and employee appreciation initiatives across the organization.
  • Track employee milestones such as service anniversaries and achievements, ensuring proper acknowledgment and recognition.
  • Track and report on recognition program metrics to assess engagement and effectiveness, recommending improvements as needed.

  • Provide support to the employee-led Council, ensuring all initiatives, are implemented effectively within the organization fostering and inclusive and equitable workplace.



Qualifications:



  • Bachelor's degree in human resources, business management or related discipline.
  • Minimum of two years of prior experience in relevant People /Talent/HR administration tasks and responsibilities.
  • Experience maintaining HRIS/PIS platforms and applicant tracking systems.
  • Ability to work at all levels of an organization with sensitive and confidential information.
  • Strong analytical skills, including reporting and synthesizing data, excellent customer service skills including organizing, prioritizing, and tracking of a wide range of administrative tasks.
  • Exposure to culture and inclusion initiatives or programs.
  • Excellent communications, time management, follow up and interpersonal skills.
  • Highly motivated, adaptable and passionate about people work.
  • Willing to work in a fast-paced environment.
  • Proficiency in MS Office: Outlook, Excel, Word, PowerPoint, Visio and SharePoint.

Pay Range Details
$58,520.00 - $79,000.00 Annually

This base salary range applies to Associate and Senior Associate positions at Social Impact.

The range displayed does not include bonuses, overtime, compensation time, or other similar additions to base salaries. SI's offer is based on a wide range of factors including but not limited to years of experience, education level, market-based compensation analysis, skill sets, experience and training, licensure and certifications, internal equity, and other business and organizational needs. It is not typical for a candidate to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case.
