Job Summary
The Administrative Coordinator position includes a hybrid of jobs or "mixed duties" that provide a variety of administrative, operational, and technical assistance to ensure a smooth and efficient office environment. This position's duties encompass areas such as an assortment of administrative services for human resources initiatives, training, property administration, space and facilities matters, and operational reporting.
Minimum Education and Experience
Bachelor's degree in Business Administration or related field with three years of administrative experience; or equivalent combination of education and experience.
Preferred Education and Experience

  • A minimum of four years of experience in human resources, office, or other work described in the essential duties and responsibilities
  • A Bachelor's degree in business, or related field.
  • Higher Education experience is preferred.
  • Strong organizational skills to manage multiple assignments and priorities.
  • Strong communication and interpersonal skills to communicate effectively, both orally and written, with technical and non-technical users, managers, executives, and external department/people.
  • Experience working in producing quality deliverables and meeting project schedules.
  • Ability to react and adapt to changing situations appropriately.
  • Ability to demonstrate tact and diplomacy, and to maintain a high level of confidentiality.
  • Ability to demonstrate self-initiative as well as to work well as a team.
  • Excellent planning and organizational skills with ability to manage multiple tasks, adapt to changing priorities, work under pressure, and meet deadlines.
  • Intermediate skills with MS Office: Outlook, Excel, Word, PowerPoint
  • Excellent analytical, attention to detail, and problem-solving skills


Essential Duties and Responsibilities
Human Resource Coordination

  • Act as the Departmental HR Liaison, including but not limited to posting job vacancies, assisting in new employee/student hiring process, timesheet maintenance, and participating in interdepartmental meetings to keep department informed on changes in policies and procedures.
  • Coordinate the onboarding and offboarding process for employees, student workers, and/or contractors for the department
  • Develops content and conducts departmental training as requested.
  • Coordinate with employees and the proper external departments in certain processes such as: FMLA, accommodation requests, workers compensation etc...
  • Assists employees with routine human resource/personnel-related questions.


Office Site Coordination:

  • Support the department in coordinating the SPN2 office location included but not limited to scheduling, preparing and distributing materials, room set up, responding to office inquiries and associated follow up.
  • Assist with office events and reception duties as necessary, which might require additional in-office workdays
  • Participate in the building coordination meeting as the Shared Information Services Department liaison
  • Report matters regarding the office physical needs such as maintenance requests, conference room coordination, and space allocation

Other Duties/Responsibilities

  • Work closely with Business Services Leadership to research and share best practices, provide assistance on critical needs, and coordinate initiatives as assigned.
  • Remain focused on the varying needs, priorities, and resources of the department.
  • Perform other duties as assigned by supervisor or supervisors' designee.

Additional Information

  • Position location will be discussed during the interview process. Location can be Fort Worth, TX or Richardson, TX.
  • Hybrid remote work environment available. A UT Dallas Remote Work Agreement is required upon employment.
  • Must have the ability to be on Richardson campus with 48 hours of notice.
