Duties, Responsibilities & Other

    This position will perform primary office reception duties and general front desk support; answering phones, routing calls, and taking accurate messages; greeting clients and visitors; scanning, email, faxing, photo-copying and general filing; assisting with travel arrangements, scheduling meetings & maintaining calendars; receiving, sorting and distributing incoming mail; posting outgoing mail and assisting with mailings; providing support for meetings/events (i.e., planning, set-up, food, beverages, etc.); entering cost data, if requested; responding to needs and requests from multiple disciplines simultaneously. This position will also perform general administrative assistant duties including managing minor office accounts, supporting the Office Manager and performing other administrative duties as assigned.
  • Entry level, one to five years of office administrative experience preferred. Experience with engineering related administrative duties would be preferred. Successful candidate will have experience in a busy office working independently to successfully and accurately complete assigned tasks with minimal oversight.
  • Must have strong interpersonal and communication skills as well as organizational and schedule management abilities. Candidate should be knowledgeable about computers and typical office equipment. Candidate should posses a working knowledge of Microsoft Office software with a demonstrated proficiency in Word and Excel. The ability to operate a multiline phone system is required along with the ability to accept direction from multiple sources. This candidate should possess the ability to work independently. Experience with Oracle software is a plus.


Qualifications

  • High School diploma or equivalent is required. Some college or degree program enrollment would be a plus.
  • Minimum of 0 - 2 years of experience
  • Pre-employment drug screening is a condition of employment. Background and motor vehicle checks may be required based upon position.


Performance Expectations

  • Complete Annual Individual Training Program
  • Train adequate backup personnel to support your role in your absence
  • Attend monthly town hall meetings
  • Comply with all KCI policies and procedures
  • Complete other duties as required/assigned
  • Represent KCI in a positive and open manner and serve as a gatekeeper for your direct supervisor
  • Work with office manager and office management team to manage resources to achieve our goal
  • Assist with calendar and scheduling meetings as required
  • Book travel per company policy
  • Coordinate office volunteer and corporate citizenship activities
  • Draft correspondence
  • File and organize project documents and records and keep them accessible
  • Keep files accessible and organized
  • Make copies as requested
  • Order/manage office supplies through approved procurement means
  • Organize office/discipline employee events
  • Perform spreadsheet data entry as requested
  • Serve as office notary public
  • Type handwritten documents using word-processing software
  • Work with corporate charity chairperson to coordinate office charity participation
