Job Description

Position Description:

This position will assist the operations team in carrying out all duties including but not limited to: mail processing, check deposit, and processing new business set-up. The incumbent will also monitor existing account updates and other requests while fulfilling both regulatory and internal obligations.

Position Location:

This is a hybrid role working partially in-office and partially from home.

What you do:



  • Sort all incoming mail received for AIC. This includes opening and scanning of documents.
  • Effectively process all returned mail and maintaining backlog. This process will involve research of current addresses utilizing AIC software and reporting metrics.
  • Process the daily deposit of incoming checks. This includes sorting and scanning each check and verifying the correct account number.
  • Set up new accounts, resolve issues with both internal and external partners, streamline operational procedures to the field, answers customer questions, and ensure proper training on processes and procedures.
  • Ensure account maintenance is compliant.
  • Reconcile account related data through the operation of back office systems including: client information, reports, and other technical group data.
  • Adhere to all regulations, policies, and procedures in relation to the position including but not limited to: accurate capture and portrayal of client information, meeting deadlines, and account processing.
  • Conduct all scheduled audits, certifications, reconciliations, and distribution of information as required.
  • Responsibilities also include monitoring incoming calls and emails, account maintenance, verifying and conducting client identity research, processing client requests, and following up with outside vendors as required.
  • Collaborate with internal partners to resolve Not In Good Order (NIGO) paperwork, solves Not in Good Order (NIGO) workflows, and manages requests for external partners to ensure In Good Order (IGO) processing.


What you bring:



  • High school diploma or G.E.D. required.
  • Associate degree in a relevant field of study desired.
  • 0-2 years of relevant experience required.
  • Experience with Microsoft Office, Wealthscape, FBSI, Docupace, Orion and/or Caesar preferred.

About this Position's Pay
The pay range posted reflects a nationwide minimum to maximum covering all potential locations where the position may be filled. The final determination on pay for any position will be based on multiple factors including role, career level, work location, skill set, and candidate level of experience to ensure pay equity within the organization. This position will be eligible to participate in our comprehensive benefits package (see above for details). This position will be eligible to participate in our Short-Term Incentive Plan with the annual target defined by the plan.
