Job Description:

The Shared Services Event and Office Associate is a member of the Office Service Center team relative to the administration of client deliverables and other project activities, including creating, editing, formatting, proofing, mapping, and processing deliverables using the Microsoft Office Suite and other specialized software in accordance with established Firm standards.

This role will also be responsible for maintaining a quality office, meeting and event experience, including the deliverables such as, set up and breakdown of space, supporting meetings and events in progress, managing meeting technology, cleaning and ensuring rooms are functional before and after events, supporting the Office and Event team, and visitors to the office.

In this role, you will perform a range of duties including collaborating with other Service Center members, as well as client service teams to support and complete general office and administrative requests, and tasks including document management, word processing, production, scanning, office supply and general facilities support. This role will assist the service center in maintaining and updating office support policies and procedures, along with data capture and efforts to report on office performance in relation to standardized policies and procedures. This role supports meetings and events onsite and offsite. This role includes traveling to offsite events to provide support as required.

The successful candidate should an advocate for continuous improvement, demonstrate excellent attention to detail, and a comprehensive skill set encompassing people management, communication, project coordination, organization, and process management. Knowledge of the internal business practices and priorities is essential to support various projects with a commitment to quality, precision, and confidentiality. Exceptional communication skills are critical, as this role involves interactions with client services teams across all business units, as needed.

A high degree of technical competence in Microsoft Word, Excel, PowerPoint, and other applications is necessary as the work performed by this team requires a deep understanding of and proficient use of these technologies to ensure compliance with Firm work deliverable standards.

The position reports to the Office Services Center Leads and Office Services Center - Facilities Senior Associate and is a member of the Shared Services Business Unit. This role requires you to be on-site in your assigned location.

Responsibilities

  • Create, edit, format, proofread and process reports using the Microsoft Office suite, or utilize other specialized software, using various styles with multiple page layouts, headers/footers, graphs/charts/tables, and mappings and utilizing Firm standards.
  • Ensure compliance with Firm and BU standards.
  • Assist as needed with the administration of incoming and outgoing U.S. mail, FedEx, and courier services and other related activities.
  • Maintain office supplies in all common areas as well as support on-going maintenance of these areas.
  • Assist as needed related to office vendors and assist in facilitating office maintenance needs.
  • Support visitor management systems and workspace management.
  • Assist as needed with local office safety and first responder activities including maintaining associated supplies and equipment.
  • Develop, format, and edit a variety of documents, spreadsheets, presentations, or other deliverables.
  • Assist with production of documents, including scanning, photocopying, binding, assembly, and delivery.
  • Assist with entering office expenses (fed ex, messenger services, invoices, etc.).
  • Assist with onboarding/new hire activities, meeting, and events.
  • Assist with and provide support for on-site meetings or events, ensuring training rooms, conference rooms and/or office space is clean, organized, and set-up, per event requirements, collaborating with IT support and other team members as needed. Assist with reorganization and clean-up following on-site events and meetings.
  • Assist with scheduling and related support for meetings, ensuring appropriate reservations and catering orders have been submitted.
  • Provide reception coverage as needed.
  • Track inventory and stock of office supplies and of breakroom and conference/meeting room supplies (coffee, soda, snacks).
  • Work with internal customers, the Service Leads and Leaders and others to inform process, technology, template, and training enhancement opportunities.
  • Provide consistent, high quality and on-time delivery of service.
  • Interact with client service teams to ensure timely and accurate work preparation, completion, and problem resolution.
  • Timely and complete entry of data in the systems used by the team.
  • Utilize tracking systems to ensure all requests are assigned and are completed timely.
  • Contribute daily to ensure Business Unit (BU) Service Level Agreements are either met or exceeding performance expectations.
  • Complete work requests move through the appropriate workflows in a timely manner.
  • Maintain compliance with Firm and BU specific policies, processes,and deliverable requirements.
  • Follow workflow and support deliverables through completion.

Qualifications

  • Willingness to build strong working relationships at all levels, internal and external to the Firm.
  • Strong work ethic and desire to produce results as part of a successful practice.
  • Strong verbal communication and people related skills.
  • Competence in Microsoft Word, Excel, PowerPoint as well as another web based and database solutions.
  • Project management and organizational skills with the ability to multi-task and prioritize to complete work and projects.

Requirements

  • 1-2 years of experience.
  • Background in professional services operations.
  • Bachelor's or Associates degree in business or relevant field is preferred.
  • This role requires you to be on-site in your assigned location.

Preferred Knowledge and Skills

  • Experience in the professional services industry.
  • Experience with work request applications.
  • Experience working with client service teams to maintain Firm standards.

The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At Crowe, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $18.37 to $34.26 per hour.
