Description of Job

The Lock Shop/Access Services team at the Colorado School of Mines operates in a dynamic and fast-paced environment, ensuring the security and accessibility of campus facilities while prioritizing customer service. The supervisor (Structural Trades III) oversees a dedicated group of professionals responsible for maintaining and managing locks, keys, and electronic access control systems across a campus that spans over 2.4 million square feet.

This role also includes supervision of some structural tradespeople, who address building maintenance needs such as painting, carpentry, doors, windows, and minor repairs. The work group is highly collaborative and customer-focused, frequently interfacing with campus departments, faculty, staff, and students to meet their needs efficiently and effectively.

The workload in this department is substantial, with a high volume of work orders requiring timely completion to support the mission of a thriving and secure campus. Current challenges include balancing competing priorities, managing workload efficiently to avoid delays, and ensuring clear and proactive communication with customers. Maintaining a high level of service amidst these demands requires strong organizational skills, technical expertise, and a commitment to fostering a positive and professional work environment. This Structural Trades III position provides supervisory duties to provide quality general maintenance service wherever required, within various campus facilities to include academic buildings and housing. Performs preventive maintenance on facilities, maintains and stocks supplies. Provides snow removal and other duties pertaining to the Maintenance department as required. This position responds to emergencies on the call back system. This position renovates, remodels, paints and improves existing buildings including apartment unit turns as needed. This position oversees the Lenel On Guard access control system campus wide, grants electronic access, issues hard keys & maintains key architecture records. The position oversees locksmithing and access control for all campus access.

Duties Include:

A. General Maintenance, Preventative Maintenance and Snow Removal
  • Assesses needs related to Structural Trades by creating or modifying master schedules for PM activities based on seasonal needs, reoccurring conflicts, workload and other input.
  • Coordinate PM activities with building occupants and generate outage notifications related to PM activities.
  • Generate work orders for repair items that are identified during PM activities, which fall outside of the normal PM responsibilities.
  • Purchase required PM materials to maintain necessary inventory to ensure that the workflow of this unit is not impacted.
  • Ensure purchase requests and invoices are accurate, filed and submitted to the office.
  • Track annual materials purchases to ensure the budgets for these materials are not exceeded.
  • Track the annual usage of materials to set and adjust inventory limit controls.
  • Maintains hard key lock system, repairs and maintains door keying hardware.
  • Responds to emergency work requests, and call backs.
  • Conducts keying and hardware preventive maintenance, commissions and reviews key and hardware schedules for advising division manager.
  • Recommends design and maintains the campus master keying system consisting of more than 7,500 locks and 45,000 keys.
  • Researches and advises in the development of campus hardware specifications.
  • Ongoing design of the master key system to meet users' needs balanced with good access control practices. Plans for future expansion and lost key replacement.
  • Stays current on IBC and industry codes

B. Supervision of Staff and Personnel Matters
  • Prioritizes, assigns and supervises structural trades and electronic specialists for all allocated facilities.
  • Works In coordination with the grounds supervisor in assigning employees to areas for snow removal. Follows up to ensure that all assigned areas have been cleared and re-directs employees to perform follow up as required.
  • Conducts follow up meetings with customers to ensure quality of workmanship and resolve any customer complaints
  • Assigns department staff members to assist in snow removal duties as required.
  • Manages work order requests and assigns them to the appropriate technicians based on departmental needs, technical skill level and work order priority.
  • Follows up with technicians to ensure work orders are completed in a timely manner and all data entry is completed accurately.
  • Create performance plans and conduct quarterly performance evaluations for all direct reports.
  • Ensure that work order time entry, FLSA time sheets and leave requests are accurate, properly submitted and filed.
  • Participate in the testing and interview process as well as train and mentor new employees.
  • Conduct state, CSM and FM policy training/review with all direct reports.
  • Enforce policy when required.
  • Address employee performance issues.
  • Evaluates current workload and assist with prioritization or shift of work.
  • Other duties as assigned

C. Oversight on Electronic Building Access System
  • Recommends and designs campus electronic access systems.
  • Maintains electronic access to over 750 doors, runs reports, and maintains records on electronic access using the Lenel OnGuard System.
  • Directs employees or subcontractors with pulling data wire for electronic devices and assists other department staff in learning the proper procedure for performing electronic access tasks.
  • Shares knowledge of the Access Services software, and hardware with others in the shop and within Structural Trades.
  • Contacts appropriate staff to schedule project walks in order to develop a scope of work and project schedule for requests.

D. Campus Standards, Project Specifications and Job site Review
  • Assist in the development and maintenance of standards or specifications for Structural Trades Division.
  • Review submittals for compliance with standards or specifications.
  • Reviews and updates campus standards for Structural Trades related items including doors, door hardware etc.
  • Performs job site inspections to review installation and compliance with campus standards on new jobs or projects.
  • Recommends the proper hardware to be specified for large and small projects.
Please note: This position reports to campus Monday - Friday; 7:30am - 4:30pm.

MINIMUM QUALIFICATIONS:

Experience Only:
Six (6) years of relevant experience in an occupation related to the work assigned to this position, with work that included:
- Knowledge of Lock and Access Control Systems and Non Licensed building trades
- Demonstrated expertise in managing and maintaining mechanical and electronic access systems, including familiarity with software like Lenel or other key management platforms.
- Leadership and Team Management Skills: Proven ability to supervise a diverse team, delegate tasks effectively, and manage workloads in a fast-paced environment.
- Experience in overseeing skilled tradespeople and providing training and support to maintain high customer service standards is essential.
- Strong Customer Service and Problem-Solving Abilities: A customer-focused mindset to address stakeholder needs promptly and efficiently, paired with the ability to resolve technical and operational challenges creatively and collaboratively.
- Excellent verbal and written communication skills are crucial for partnering with key campus departments like Residence Life, Student Life, and Facilities Management.

OR

Education and Experience:
A combination of related education, formalized apprenticeship program, and/or relevant experience in an occupation related to the work assigned equal to six (6) years. Transcripts must be attached for educational credit.

PREFERRED QUALIFICATIONS:
- Certification as a Certified Registered Locksmith (CRL) or equivalent is highly desirable.
