HVAC Facilities Coordinator essential tasks:
Under general supervision, manage all aspects of designated customer accounts, ensuring work orders are completed on time to meet client obligations. Responsibilities include follow-ups with service providers via phone and email, updating work orders in the company system, and coordinating with the account team on reassignments. Serve as the primary point of contact for service providers, handling daily communications and status updates. Other duties may include:
- Manipulates excel work order data to prioritize service provider communication.
- Communicates on a regular basis with service providers via telephone to get work order updates.
- Updates and performs uploads into system to work orders to reflect latest status.
- Coordinates and communicates with account team(s) on work order escalations and service provider invoicing issues.
- Ensures work order reassignments are notified to the account team representative for their action.
- Assists in dispatching work orders if customer service rep/dispatcher is out of office.
Requirements:
- Associate's degree or equivalent experience with at least two years in facilities maintenance, property management, or customer service; experience in trades such as Electrical, HVAC, Plumbing, or Roofing preferred.
- Advanced proficiency in MS Windows applications (Excel and Word), typing at least 50 WPM, and strong writing skills; bilingual in English and Spanish preferred.
- Maintains a friendly and professional demeanor, punctuality, reliability, and a strong work ethic, with confidence in providing and receiving information.
- Demonstrates critical thinking, problem-solving, and effective communication with Operations Staff and Call Center teams to achieve program goals.
- Works well under pressure, makes sound decisions with limited input, and escalates issues appropriately to management.
