Job Overview:

Trinitas Emergency Department is one of the busiest in the state with more than 73,000 emergency visits annually. Our newly renovated Emergency Room has a total of 45 treatment rooms with separate treatment areas for families, children and seniors. As the Unit Secretary you will attend the nursing station and perform clerical duties, reception duties, and requisition supplies, equipment and services as directed.

Qualifications:

Required:

  • High School Diploma
  • Proficient in Microsoft Office
  • 1(one) year related experience

Preferred:

  • Bilingual preferred

Scheduling Requirements:

  • Shift- 3:00pm-11:00pm
  • Per Diem/ days varies/ as needed

Essential Functions:

  • Utilizes the computer, printer, fax machine, and other supplies in a manner that achieves high productivity, cost effectiveness, and waste reduction
  • Processes patient charges appropriate to the unit
  • Assists with the maintenance and care of equipment and supplies
  • Initiates maintenance requisitions for the necessary repairs on the unit
  • Promotes a compassionate, supportive, and therapeutic environment for the patients, families, and co-workers
  • Arranges follow-up appointments as ordered by the physician.
  • Calls other units for readiness of bed prior to patient transfer
  • Arranges transportation of patient to other health care facilities in collaboration with the Charge Nurse / Nurse Manager
  • Ensures that all necessary paperwork is completed, copied, and transferred with the patient
  • Demonstrates the ability to use the clinical information system with minimal assistance
  • Demonstrates knowledge of the hospital s accepted abbreviations and medical terminology
  • Accurately transcribes orders from the physician order form to the Clinical Information System
  • Files computerized printouts of transcribed orders for RN verification
  • Signs off orders upon completion of all transcriptions
  • Notifies the Registered Nurse to verify the accuracy of all transcriptions
  • Demonstrates communication skills appropriate to age
  • Identifies STAT orders as a priority and transcribes immediately.
  • Notifies Registered Nurse of STAT orders
  • Calls consultations as per physician s orders if not done so already by the physician.
  • Maintains knowledge of the use of forms and paper requisitions in case of computer downtime.
  • Management of Information - Prepares patient s charts using all necessary forms
  • Files admission, discharge, and transfer medical records in correct sequence
  • Performs the clerical activities associated with the admission, discharge, and transfer of patients, including copying medical records when the Medical Records Department is closed
  • Ensures that all forms in patient s medical record are labeled with the correct patient identification. Adds new forms and additional sheets to patient medical records as needed
  • Files diagnostic results and patient record reports on a timely basis, removing duplicate copies. Makes necessary entries in the computer/written logs per unit specification
  • Review discharge patient records for completeness and communicates deficiencies to Charge Nurse/Nurse Manager
  • Places completed discharge chart in appropriate area for messenger pick-up
  • Communicates all messages received in the absence of requested personnel
  • Acts as a resource person for computer order entry
  • Performs other duties as requested
