General Purpose of Job: Duties include preparing and scheduling patient and guest treatment rooms. Preparing daily work schedules for clinical staff. Assumes responsibility for accurately gathering patient and guest preferences and other pertinent information and entering this information into the computer. Typing forms/correspondence, preparing departmental documents and reports. Assisting individuals in person and over the phone, scheduling appointments, anticipating the needs of patients and guests and maintaining departmental records and files. Assumes responsibility for cleaning and maintaining all equipment and treatment areas, and ordering department supplies. Provides support and performs a variety of secretarial/administrative tasks as assigned. Essential Duties:
- Consistently exemplifies "on-stage" behavior.
- Is responsible for creating a destination, experience-based service, delivers customized experiences using patient profiles.
- Displays a high level of organization and is capable of effective and efficient multi-tasking.
- Greets and checks in patients and guests; provides information and assistance as needed in person and by phone; refers individuals to appropriate personnel.
- Schedules Rehabilitation evaluations, follow-up appointments, massages and other patient/client appointments. Obtains patient's/client's demographics, medical, and insurance information.
- Assumes responsibility for gathering patient and guest preferences: preparing treatment rooms and focusing on creating an excellent patient experience.
- Assist patients and guests with completion of required paperwork; ensures accuracy and completeness of paperwork and enters persons into computer system.
- Refers patients and guests to other hospital services.
- Assumes responsibility for cleaning and maintaining department equipment and treatment areas; restocks supplies, changes/launders linens, and notifies appropriate personnel of unsafe conditions and/or equipment in need of repair.
- Orders departmental supplies; conducts follow-up with outside vendors as necessary.
- Performs clerical related tasks i.e. typing, copying and filing.
- Establishes and maintains departmental records and files.
- Assumes responsibility for opening, maintaining orderly appearance and atmosphere, and closing department.
- Attends staff meetings and in-services as assigned. Records meeting minutes as directed.
- Supports and serves as a role model for our mission, vision, values and customer service initiatives. Adheres to the organization's policies & procedures, and compliance guidelines.
- Performs other duties as assigned.

* Working knowledge of office and registration procedures * Knowledge and understanding of functions of assigned departments * Written, typing and computer skills necessary for the creation and compilation of various documents, communications and reports * Interpersonal skills necessary to provide courteous and accurate information, on the phone and in person, to all levels of staff, patients, families, outside vendors and others. Presents self in a warm, professional and caring manner * Demonstrates professional appearance * Organizational skills to prioritize work flow and maintain department files * Mental ability to work on tasks requiring accuracy and attention to detail, adapt and respond to multiple priorities and demands, and handle information of a confidential nature * Physical ability to properly operate required rehab and office equipment * Ability to read and understand labels and instructions on cleaning solutions and equipment * Demonstrates ability to use a keyboard as may be required to perform the essential duties of the job * Experience in a medical related field--Preferred. * Customer service experience--Preferred. * Medical Terminology--Preferred. |
