Job Summary:

The Builder Back Charge Specialist is responsible for managing, tracking, and researching back charges related to HVAC projects, particularly those involving builders. This role involves analyzing the causes of back charges, determining the responsible parties, and collaborating with builders to contest and resolve discrepancies. The ideal candidate will be detail-oriented, highly organized, and skilled in communication to ensure accurate tracking and resolution of back charges.

Essential Duties/Responsibilities:

  • Maintain a comprehensive record of all builder-related back charges for HVAC projects.
  • Monitor and update back charge documentation to ensure accuracy and timeliness.
  • Investigate the reasons behind back charges to identify errors, discrepancies, or misunderstandings.
  • Collaborate with internal teams (e.g., field technicians, sales representatives) to gather information and determine the appropriate course of action.
  • Analyze back charge details to determine the responsible party.
  • Communicate with builders and customers to resolve disputes and reach mutually beneficial agreements.
  • Document all communication, actions, and resolutions related to back charges for future reference and auditing purposes.
  • Work closely with accounting and operations teams to resolve discrepancies and prevent future back charge issues.
  • Provide reports and updates on back charge status to leadership and other departments as required.
  • Identify trends in back charge issues and collaborate with relevant teams to implement preventive measures.
  • Contribute to process improvements to streamline back charge tracking and resolution.

Minimum Requirements:

  • High School Diploma or GED.
  • 1+ year's proven experience in tracking, managing, or researching back charges, preferably in the HVAC or construction industry.
  • Fast, accurate data entry or keyboarding skills
  • General computer competency is required, including a minimum of 1-year experience Microsoft Excel, Word, and Outlook.
  • Must be able to communicate in English effectively, both verbally and in writing.
  • Ability to work overtime with little notice; weekends hours may occasionally be required.

Preferred Qualifications:

  • HVAC industry or construction experience.
  • 2+ years proven experience in tracking, managing, or researching back charges, preferably in the HVAC residential new construction industry.
  • Experience with contractor/vendor negotiations and issue resolution is highly desirable.
  • Basic accounting knowledge

Physical Requirements:

  • Must be able to lift/move up to 10 pounds frequently.
  • Frequently performs tasks requiring bending at the waist, kneeling or crouching.
  • Must be able to adhere to long periods of standing, walking or sitting.
  • Ability to hear, understand and distinguish speech and/or other sounds to operate phones or other office equipment safely.
  • With natural or corrected vision, able to see and focus for close, distance, peripheral vision with normal depth perception.
  • Ability to express or exchange ideas by means of the spoken word to impart oral information to others.
  • Ability to enter text or data into a computer by means of a traditional keyboard or 10-key numeric keypad.
  • Must be able to use arms and hands to reach overhead, signal, grab, hold, lift, turn, push and pull objects and tools.
