The School of Environmental and Biological Sciences, located on the George H. Cook Campus, is one of the largest schools of Rutgers University in New Brunswick, New Jersey. We pursue excellence in research, teaching, and outreach in areas of study that address the biological spectrum from molecules to ecosystems. Our emphasis is on both the fundamental sciences and the social and human dimensions. We offer 21 undergraduate majors, including plant and animal sciences, microbiology, biotechnology, agriculture and food systems, landscape architecture, food and nutritional sciences, ecology and evolution, marine science and oceanography, environmental sciences and meteorology, human ecology, entomology, and environmental economics.
In addition to instruction in the classroom, field, and laboratory, our students have opportunities for experiential learning on and off campus, including a growing emphasis on international experiences through short- and long-term study abroad. Students also have access to a robust program of applied research and outreach hosted by the New Jersey Agricultural Experiment Station laboratories, farms, business incubators, and marine stations throughout the state.
The Plant Diagnostic Laboratory and Soil Testing Laboratory are service laboratories of the New Jersey Agricultural Experiment Station-Rutgers Cooperative Extension, offering analytical and diagnostic information to NJ growers, homeowners, Rutgers researchers, engineers, and others.
Posting Summary
Rutgers, The State University of New Jersey is seeking a Business Assistant II for the School of Environmental and Biological Sciences. This position reports to the SEBS/ NJAES Business Office's Business Manager II Supervisor and works closely with the Plant Diagnostic and Soil Testing Laboratories on financial operations matters. The position will be based in two sites in New Brunswick: The Soil Testing Lab at Rutgers Administrative Services Building II on Rt 1 near Ryders Lane and the Plant Diagnostic Lab at Horticultural Farm 2 on Ryders Lane.

Among the key duties of the position are the following:

  • Gives business support to the Soil Testing and Plant Diagnostic labs by aiding with the coordination and administration of office activities to achieve their objective.
  • Processes about 8000 samples yearly, while the Plant Diagnostic Lab processes over 2000.
  • Prepares financial documents such as requisitions, cash journals, travel orders, and payroll.
  • Handles commitment accounting, bi-weekly class 4 payroll, and travel expense reports, ensuring funding availability.
  • Prepares and coordinates administrative work of the unit, which may include general office work, answering multiline phone system and greeting of visitors, academic support, policy dissemination and application, and office operations/maintenance.
  • Works with minimal supervision and within parameters set by University Policy and NJAES/SEBS financial procedures.

Qualifications


Minimum Education and Experience
  • Requires a Bachelor's degree in a related field, or an equivalent combination of education and /or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, bookkeeping and /or report writing.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Requires good communication skills and computer literacy.
Preferred Qualifications

  • Minimum of 2 years experience in a position providing business/administrative support.
  • Demonstrated ability to organize office workflow and interact with technical and professional staff to achieve daily output, including but not limited to invoices, income transmittal's and reports.
  • Familiarity with the mission, organization, and functioning of NJAES and Rutgers Cooperative Extension.
  • Knowledge and/or interest in soil and/or agronomy/horticulture is desirable.
  • Experience with Rutgers' Financial Management (Oracle Cloud) and Rutgers Marketplace (Jaggaer) programs, and familiarity with Payment Industry Compliance Data Security Standards (credit card processing security) is preferred.

Equipment Utilized
  • Computer competence must include extensive knowledge in Microsoft Office 365, including Word, Outlook, and Excel programs.
Physical Demands and Work Environment

  • Must be comfortable within the adjacent laboratory environment.
  • Duties related to the laboratory require tolerance for dust and ability to carry loads (up to 25 pounds).

Special Conditions

  • It will be necessary to split the workday between the two laboratories; locations are about 1 mile apart; this short commute can include delivery of samples from ASBII's mail room to the Plant Diagnostic Lab.
  • There is no opportunity for flex work in the position.
