Posting Summary
Rutgers, The State University of New Jersey, is seeking an Administrative Coordinator for the Provost & EVC for Academic Affairs department. This position provides comprehensive coordination and day-to-day administration of projects and initiatives to support the Senior Vice Provost and Vice Chancellor for Undergraduate Education ( SVPUE) and advance the mission of the Division of Undergraduate Education and the Office of the Provost in the areas of student support and academic excellence.
Among the key duties of this position are the following:

  • Coordinates and supports multiple projects, programs and initiatives led by the Senior Vice Provost and Vice Chancellor for Undergraduate Education (SVPUE) in the areas of student support and academic excellence.
  • Schedules appointments, coordinates meetings, may perform some fiscal support functions, and/or serve as a liaison within and outside unit.
  • Provides administrative support in the planning and execution of events, workshops, forums, and other initiatives, including organizing logistics such as facilities, vendors, technology, development of materials, etc.
  • Compiles information, conducts basic research, and analyzes data to support team initiatives, including assessment of programmatic objectives and performance, benchmarking in support of programmatic initiatives, and facilitating committee and taskforce work in support of team priorities.
  • Manages and executes communications for projects, programs, and initiatives led by the SVPUE, including proactively updating and enhancing websites in collaboration with R-Comm; creating reports, presentations, and other communications; and coordinating team communications.
  • Provides programmatic support for additional areas of the Division of Undergraduate Education and the Office of the Provost as needed, and performs other duties as assigned.

Qualifications


Minimum Education and Experience

  • A bachelor's degree, or an equivalent combination of education and experience.
  • Two years of relevant experience.

Certifications/Licenses

  • Excellent oral and written communication skills and attention to detail.
  • Excellent organizational and time management skills.
  • Ability to work efficiently in a fast-paced environment.
  • Ability to self-direct management of multiple priorities.
  • Ability to interact comfortably and professionally with diverse student and faculty populations.
  • High proficiency in Microsoft Office applications.
  • Ability to create, manage, and analyze large databases in Microsoft Excel and Tableau.

Preferred Qualifications

  • Prior experience in a program coordination or administrative function at an institution of higher education or equivalent type of organization.
  • A broad understanding of Rutgers University and the academic programs offered by RU-NB.

Equipment Utilized
  • Knowledge of Rutgers University accounting procedures and software platforms such as Cornerstone/Marketplace, REGIS, CSS, CourseAtlas, Grad Portal, Zoom, Cisco WebEx, Blue, ROCS, Canvas, Sakai, and the other university learning management systems as needed.
