Position Summary

The Event Finance Specialist for Events & Logistics will oversee the financial aspects of event management. This role will be responsible for budgeting, forecasting, tracking expenses, and ensuring financial accountability for events, from planning to execution to post event analysis. The ideal candidate will have financial aptitude, excellent organizational skills, and the ability to work in a fast-paced environment.

Essential Job Functions



  • Assist with event budget development and management, ensuring all financial aspects are accounted for and tracked.
  • Work with event planning teams to define goals and allocate adequate resources.
  • Maintain comprehensive documentation for all financial transactions and contracts related to events.
  • Ensure expenses aligned with the approved budget confirming proper allocation to the correct budget categories.
  • Proactively follow up with vendors and contractors to ensure timely submission of invoices. Send reminders and escalate unresolved issues as necessary to prevent delays.
  • Enter department expense reports within five days of expenditures. Ensure all expenses are recorded and allocated correctly in financial systems
  • Maintain organized records of all invoices, payments, and documentation for expenses.
  • Develop relationships with vendor personnel to facilitate excellent communication and collaboration between vendors and Events and Logistics personnel.
  • Work closely with events managers and other departments to ensure financial objectives align with overall event goals.
  • Provide financial insights and support during the event planning process to ensure fiscal responsibility.
  • Other duties as assigned

Qualifications

Education/Training



  • Bachelor's degree in Business, Finance or a related field
  • Will consider 4+ years work experience in lieu of degree


Experience



  • 5+ years' experience in invoice management, budget forecasting, or financial coordination, required
  • Experience with contract management and vendor relationships, preferred
  • Familiarity with expense tracking software or budgeting tools, preferred


Skills, Knowledge, and Abilities



  • Strong organizational and time-management skills
  • Proficient in Microsoft Excel and Word
  • Strong communication skills with the ability to work cross-functionally
  • Problem-solving skills to address discrepancies and issues with contractors or invoices
