JOB SUMMARY

The Director of Gift Administration serves as a member of the Advancement Services Leadership Team and is integral to UT Southwestern's donor gift processing unit. The Director manages the Gift Administration team and is responsible for all aspects of the strategy and operations related to philanthropic revenue from all donor sources.

EXPERIENCE AND EDUCATION

Required
  • Education

  • Bachelor's Degree in business or a related field
  • Experience

  • 10 years progressively responsible experience managing a gift administration team and related infrastructure

    Expert understanding of gift administration functions, industry best practices, and campaign revenue reporting

    Successful experience implementing policies and best practice procedures in a complex, matrixed fundraising environment
Preferred
  • Education

  • Master's Degree and AASP membership
  • Experience

  • 5 years of supervisory/managerial experience strongly preferred

JOB DUTIES
  • Works closely with Development leadership to set performance standards, determine priorities, and establish accountability mechanisms for the Gift Administration team, and to oversee special projects such as conducting regular operational assessments, reporting on gift information, and analyzing giving trends to forecast philanthropic activity.
  • Lead gift administration staff responsible for timely and accurate processing of all charitable contributions processing to UT Southwestern per the donors' intent. Demonstrate expertise in administering complex pledge agreements, matching gift programs, planned gifts, event-related revenue, and non-cash assets.
  • Provide expert knowledge of industry and university practices for proper recording and crediting of gifts, pledges, and other related financial transactions.
  • Serve as expert on IRS guidelines and CASE standards, ensuring that all IRS, University of Texas System, and institutional guidelines pertaining to the acceptance, processing, and receipting of gifts are followed.
  • Collaborate with department leadership, development officers, prospect research and management team, and database administrators to establish a culture of analytics that highlights and embraces the power of data and its ability to support and inform decision-making.
  • Work collaboratively with department teams on the collection of data related to Development focused surveys and reports; CASE Voluntary Survey of Education, National Association of Cancer Center Development Officers (NACCDO), and the Institutional Development Report (IDR) ensuring that the integrity and accuracy of data contained within the reports meet all compliance and audit requirements.
  • Leads gift-related fiscal year-end closing activities; annual pledge review, write-offs, fiscal year-end pledge activity and updates.
  • Collaborates and works closely with the Office of Accounting, Office of the President, and other entities to establish new gift funds and provide gift and endowment information needed for financial reconciliations and various reports, ensuring quality reporting and transparency.
  • Oversees scheduled and ad hoc auditing of department processes, donation accuracy, and donor information including weekly, monthly, and quarterly data integrity checks, reviewing inefficient processes, coding practices, and donation write-offs.
  • Work closely with DAR gift officers, program leads, and financial partners to standardize and streamline the setup, facilitation, and execution of gift agreements, fund creation, and related entries or coding assignments across systems for enhanced reporting and compliance.
  • Ensures a service-oriented Gift Administration team that is responsive to user needs across the department and institution.
  • Performs other duties as assigned.
