JOB RESPONSIBILITIES:



  • Screens, evaluates and routes incoming phone calls. Answers the phones of the sales staff in their absence.
  • Knowledge of each sales managers' market segments and responsibilities in order to direct client inquiries appropriately. Take accurate messages in their absence.
  • Handle Group reservations as needed in tandem with Group Rooms Coordinator.
  • Detail In House Meetings and assist Convention Services Manager in needed periods to detail conventions.
  • When needed take on the responsibility of detailing and servicing small groups.
  • Sends menus, Hotel information, Thank You letters and all other correspondence to clients.
  • Responsible for processing of sales contracts, typing internal and external correspondence and distribute such paperwork to hotel departments and hotel guests as needed.
  • Prepare VIP and other amenity requests.
  • Responsible for faxing, copying, filing and any other clerical duties.
  • Responsible for maintaining adequate stock of sales collateral.
  • Responsible for ordering the supplies for the sales department and submits to Director of Sales for approval.
  • Ensure work area cleanliness maintained at all times.
  • Maintain efficiency in the operation of the staff in a high standard of quality of service and courtesy, bringing total satisfaction to our guests and the hotel.
  • Maintain a complete and accurate set of logs.
  • Be a team player, and encourage the teamwork among staff.
  • Ensure all guests who experience a problem receive an appropriate response, deliver any promised compensation, and an appropriate follow up in a timely and professional manner.
  • Promote open channels of communication between all hotel departments.
  • Attend department meetings and as needed, attends interdepartmental meetings.
  • Be familiar with the operating procedures of all other areas of the hotel, cooperating fully and in a friendly manner with those areas to assure customer satisfaction.
  • Route associate commendations received from guests to the person responsible for assembling the daily packet.
  • Notify management of any pertinent information related to shift activities.
  • Determine the requirements for and the follow up on special groups, VIPs, etc.
  • Assist in the compilation of figures and data for month end and other sales reports.
  • Assist sales manager with preparation of sales trips, trade shows and client appreciation events.
  • Follow supervisor's instructions and completes other duties as directed or assigned.


JOB REQUIREMENTS:



  • Minimum 1-year experience in an administrative position preferred.
  • Some college preferred.
  • Hotel experience preferred.
