Project Coordinator: Full or Part-time (20-40 hrs/week)

The Division of Epidemiology and Community Health is seeking applications for one full-time OR part-time Project Coordinator, job code 8351ER. Job Description
The Project Coordinator will play a critical role in providing administrative and coordination support for the WIC Professional Opportunities for Paraprofessional Staff (POPS). Funded by the USDA, this 5-year project includes a nation-wide formative assessment of current paraprofessional models in WIC, co-creation of a paraprofessional career pathway, complementary training and support resources using a human-centered design approach, and pilot testing of the developed training in local WIC agencies across Wisconsin and Minnesota.
The project coordinator will be responsible for supporting the project teams in organizing meetings, maintaining records, coordinating communications, coordinating recruitment of stakeholders and research participants, creating and coordinating the implementation of protocols for data collection and management, assisting with the creation and training and intervention materials, and assisting in the preparation of intervention and dissemination materials. The position ensures smooth daily operations and supports the project's multi-layered collaboration efforts with various stakeholders, including advisory workgroups, the University of Minnesota School of Public Health, the University of Minnesota Extension, and partner organizations.
This position will provide administrative support and coordinate community partner and advisory board involvement (20%), create training materials (5%), and coordinate participant recruitment, pilot implementation, and data collection and management (75%).

Key Responsibilities:

  • Provide administrative support, including scheduling ongoing meetings, preparing agendas, taking meeting minutes, and distributing materials.
  • Assist in organizing and facilitating virtual and in-person meetings, including advisory workgroup sessions, learning labs, and stakeholder events.
  • Maintain project records, including filing, data entry, and document management to ensure accuracy and accessibility.
  • Coordinate communication and foster relations between diverse team members, external partners, and stakeholders.
  • Prepare, format, and distribute project reports, presentations, training materials, and other documents as needed
  • Assist in tracking project timelines, deliverables, and deadlines.
  • Process invoices, purchase orders, and other financial documentation as required.
  • Assist in monitoring and responding to project-related inquiries from partners and stakeholders.
  • Communicate with community partners from diverse backgrounds to coordinate day-to-day logistics of projects
  • Support the preparation of training and intervention materials.
  • Ensure the confidentiality and security of sensitive project information.
Qualifications

All required qualifications must be documented on application materials

Required Qualifications:

  • Bachelor's degree or a combination of education and public health/community administrative experience to equal at least 4 years.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Project coordination experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google suite applications
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills and teamwork skills
  • Familiarity with virtual meeting platforms such as Zoom.
  • Ability to work independently and as part of a collaborative team.
  • Experience in maintaining accurate records and managing documentation.

Preferred Qualifications:

  • Experience with the WIC program
  • Masters' degree in public health, nutrition, or related field
  • Experience supporting federally funded programs, health or nutrition-related projects, or workforce development initiatives.
  • Experience working with diverse populations and stakeholders.
  • Familiarity with academic or research institutions.
  • Experience with qualitative research (e.g., focus groups, interviews)
  • Bilingual
  • Experience with grant-based work requirements, such as developing and following work plans and protocols, reporting requirements and federal financial policies and procedures
  • Experience facilitating group discussions, meetings and staff trainings
  • Experience assisting in the development of training and intervention materials

Epidemiology and Community Health:

The Division of Epidemiology & Community Health focuses on disease and health in various populations. Our faculty and students examine the distribution, cause and prevention of diseases, and how human behavior affects overall health.

The work of epidemiologists spreads across sectors and areas of study, so our division and faculty are often partnering with other research entities and community organizations on public health research and interventions. Pay and Benefits

Pay Range: $24.04 - $31.25 ($50,000 - $65,000 annually for 100% appointment); depending on education/qualifications/experience

Time Appointment: 75%-100% Appointment
