Overview |
The Institute for Families at the Rutgers School of Social Work exists to advance the professional practice and knowledge base of individuals and organizations improving the lives of children and families. The Institute increases the capacity of child welfare, early childhood, and human service professionals and organizations through training, technical assistance, and applied research and evaluation services.
The Early Childhood team consists of Grow NJ Kids Training Services (
GNJKTS) which oversees the development, coordination and delivery of a large-scale training and education initiative that is strengthening the early childhood and education workforce and enhancing the quality of early education programs. The team is working with state partners in a national effort to raise the quality of childcare and early learning for infants, toddlers, and preschoolers. |
Posting Summary |
Rutgers, The State University of New Jersey is seeking an Administrative Assistant for the Institute for Families. This position reports to the Director, Early Childhood Initiatives and may work out of the New Brunswick or Princeton office.
Among the key duties of the position are the following:
- Provides administrative support to the Institute's Early Childhood team.
- Supports the Director with day-to-day operations.
- Coordinates and schedules events and meetings.
- Assists with the preparation of agreements, supplier forms, and payments.
- Addresses inquiries from the early childhood workforce, trainers, project partners, and program-affiliated personnel via phone and email.
- Assists with scheduling, training access, and event information.
- Maintains continuing quality improvement efforts by supporting instructor and employee recruitment and onboarding efforts and developing processes, procedures, and other documentation.
- Pepares and organizes educational materials and records.
- Orders supplies and equipment.
- Generates mailings and communication.

Qualifications
Minimum Education and Experience |
- Bachelor's degree or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, record-keeping, and report writing.

Certifications/Licenses |
- A valid driver's license would be required for this position; Use of personal vehicle in order to travel for business demands.
|
Required Knowledge, Skills, and Abilities |
- Excellent communication skills.
- Computer literacy.
- Ability to handle multiple projects concurrently.

Preferred Qualifications |
- Three (3) years of experience working within an office environment.
- Excellent interpersonal skills and professional writing skills.
- Experience with community-based human service organizations and state agencies.

- Microsoft Office Suite (Word, Excel, Powerpoint, etc.).
- Ability to operate office equipment, including copy machines, printers, telephones, and computer workstations.

Physical Demands and Work Environment |
- General office environment, including light lifting.
- Must have a valid driver's license and be willing to travel, when necessary, to sites throughout New Jersey.
