Your Role on the Team

The Counseling Center Services Administrative Professional provides comprehensive operational support to the Counseling Center. This position serves as the administrative access point to Counseling Center services. Duties include high-volume and complex scheduling coordination, monitoring flow of crisis care services, processing clinical documentation, verification of eligibility for services, Electronic Medical Record (EMR) configuration, medical records coordination, and assessment support. Additional responsibilities include but are not limited to Front Desk coordination, KFS transactions, opening and closing procedures for the Counseling Center, and monitoring of equipment and supplies.

Employee must exercise judgment to independently perform complex decision-making processes governed by policies and procedures in a timely manner. This position requires a high level of diplomacy and interaction with clients, campus partners, community members, and Counseling Center staff at all levels. This position requires strict adherence to confidentiality and privacy laws.

The expected pay range for this recruitment is $28.49- $29.81 (Hourly).

Required:

  • Responsible for maintaining strict confidentiality regarding students' use of the Counseling Center and any treatment schedules arranged with Counselors in accordance with the Health Insurance Portability and Accountability Act of 1996 (HIPAA, Title II), Federal Education Rights and Privacy Act (FERPA), and California Laws.
  • Organizational skills to complete work in a fast-paced environment, with competing demands and frequent interruptions.
  • Ability to maintain flexibility and work well in a constantly changing environment.
  • Ability to communicate effectively and diplomatically with a diverse group of students, faculty, staff, co-workers and administrators, both individually and in group settings.
  • Displays honest and ethical behavior.
  • Ability to work as part of a team.
  • Experience working with an electronic health record and/or an electronic appointment system.
  • Strong customer services orientation.
  • Advanced computer skills including email and calendaring programs: Microsoft Office, Word and Excel.
  • Accurate typing, proofreading and editing skills.
  • Must be detail oriented with attention to accuracy.
  • Skill in working independently, thinking critically, and following through on assignments with minimal direction and supervision.
  • Ability to recognize problems and generate alternatives or offer solutions based on knowledge of Counseling Center procedures and existing guidelines.
  • Complies with and supports department and University policies, procedures and standards of conduct to include attendance, absenteeism, punctuality, tardiness, appropriate attire, and fulfills appropriate training and education requirements.
  • Bachelor's degree in related area and/or equivalent experience/training.

Preferred:

  • Working experience with students in a University setting.
  • Ability to process University transactions such as KFS Disbursement Vouchers, FMRs, etc.
  • Knowledge of UC Policies and Procedures.
  • Experience working in an academic, medical or research setting.
  • Degree from accredited 4-year college or university
  • Familiarity with campus resources
  • 1-3 years customer service and administrative experience in a health care setting

Special Conditions:

  • The Counseling Center/Annex is open for clients 8:00 am until 5:00 pm. There are three working shifts for Counseling Center Services Administrative Professional: 7:45 am until 4:45 pm or 8:00 am until 5:00 pm. Shifts are assigned based on operational needs. The positions starting at 7:45 am and 8:00 am are essential in opening the Center/Annex. The positions ending at 5:00 pm and 5:30 pm are essential to closing the Center/Annex.
  • Continued employment contingent upon completion of satisfactory background investigation.
