The Executive Assistant position supports onsite operations at Maxwell AFB in Alabama.

Summary:

C Technologies, Inc. seeks a highly organized and motivated Executive/Administrative Assistant to provide comprehensive support in daily operations. The ideal candidate will handle various tasks including executive support, administrative duties, and event management. Key responsibilities involve preparing Government correspondences, managing records, coordinating tasks, maintaining calendars, supporting events, managing equipment inventory, and performing duties as an Activities Distribution Officer. Requirements:

The Executive/Administrative Assistant will provide comprehensive support to the daily operations through various design, development, execution, and control activities. Key responsibilities include:

Executive Support:



  • Research, prepare, edit, and finalize Government correspondences.
  • Research and respond to organizational email requests for materials and information.
  • Perform staff work records management/standardization activities. Design, develop, manage, and maintain the Government's internal staff records management/standardization processes.
  • Receive, track, prepare, coordinate, and close out administrative and functional tasks as assigned by higher headquarters (HHQ) and the Government through the Task Management Tracking (TMT) system or similar.
  • Coordinate with internal and external organizations for executive/administrative materials and support as assigned.


Administrative Support:



  • Answer phones, receive visitors, and perform other staff actions.
  • Maintain organizational calendars for Government personnel and contractors, including internal meeting arrangements and travel support for external meetings, conferences, and workshops.
  • Research, prepare, present, and participate in meetings, reviews, briefings, and teleconferences/Video teleconferences (VTC). Prepare slides, agendas, minutes, and other administrative products using Microsoft Office products.
  • Manage the Government's administrative support supply function and perform equipment custodian duties as necessary.
  • Manage the Government's equipment inventory and maintain and track all required documentation as requested by the Government.


Event and Workshop Management:



  • Create, execute, and support non-academic, non-executive elements of internal and external events, workshops, and projects.
  • Provide overall execution and management support for periodic AWC/AFNC-sponsored events, workshops, and projects as directed by the Government.
  • Contact, invite, schedule, and track participants involved in each event/workshop/project.
  • Create, coordinate, and provide overall execution and management support for all aspects of event/workshop/project agendas with the appropriate AFNC faculty.


Additional Duties:



  • Perform duties of Activities Distribution Officer.


Preferred Qualifications:



  • Proven experience as an Executive/Administrative Assistant or similar role.
  • Proficient in Microsoft Office products (Word, PowerPoint, Excel, SharePoint).
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to research, prepare, and present information effectively.
  • Experience in managing calendars, arranging travel, and preparing meeting materials.
  • Experience in event planning and coordination is a plus.
