*Assist the Division Chief of Palliative Care, Director of Ambulatory Palliative Care, and Practice Manager in ensuring the smooth and efficient overall day to day operations of the Division of Palliative Care
*Provide excellent customer service, assisting in situations as needed to provide optimal care for our seriously ill patients. *Schedule new patient and follow-up visits for the Palliative Care ambulatory clinic. Performs outpatient check-in and check-out tasks and procedures. Collects copayments, and processes medication prior authorizations. Tracks patient follow up outpatient appointments to ensure appropriate scheduling has occurred. *Meet regularly with Practice Manager to provide support and work collaboratively to enhance efficiencies within the practice setting. *Coordinates, facilitates, and arranges the scheduling of internal and external meetings and appointments (virtual and in person) as directed by the Division Chief. *Uses exceptional communication skills to manage the department phone line, voicemail, and virtual pagers. Answers the telephone as the representative of the Division of Palliative Care and gathers screening information, takes and relays messages as appropriate; provides management of message and/or information as necessary. *Uses meticulous digital organizational skills to maintain Excel dashboards and update logs, files, records for the Division Chief *Uses the electronic medical record to prepare and manage the patient list for daily inpatient morning rounds and weekly interdisciplinary team meetings (IDT). *Assists with coordinating Palliative Care Conferences (5 per year) with room set-up, food ordering, advertisement, technology set-up, copies, evaluations, and data collection. *Attends and takes minutes for the Division of Palliative Care team meetings and others as assigned. *Maintains up-to-date database of clinician information, which includes licensure, certification, and educational funds. Coordinates provider reimbursement for CME expenses. *Types, transcribes, drafts, edits and sometimes initiates correspondence, reports, minutes, and other materials. Prepares presentations as requested. *Assists the Division Chief in preparing the annual report for the Division, including compiling data relevant to the report. *Assists with preparation and distribution of the Division of Palliative Care clinical schedule. *Provides support and guidance as needed to the Project Coordinator for the Serious Illness Conversation Training Program. *Handles and responds to patients' complaints and feedback regarding the Division of Palliative Care; able to follow-up with patients and hospital staff members as appropriate. *Handles daily administrative support in the areas of distribution of mail, typing, copying, scanning, mailings, phone coverage, and maintaining/researching Division files and manuals. *Helps do research into date of death for patients seen in consultation by the Division of Palliative Care, updates database and coordinates sending bereavement cards to families. *Handles maintenance/ordering/organizing of office supplies for the Division of Palliative Care; acts as main contact with office supply representative. Initiates check requests as needed. *Works collaboratively with the Practice Manager to ensure necessary administrative support coverage during vacations. *Assists the practice manager with new hire onboarding including ensuring appropriate access to clinical and non-clinical applications and other IT resources. Coordinates on-boarding of medical students and residents rotating on Palliative Care elective. *Serves as the point person of IT issues for the Division of Palliative Care. Directs requests related to functionality of IT systems, as appropriate. *Handles information of a confidential and sensitive nature. *Assumes additional responsibilities as requested.
