Join our team at Laurel Village Apartments as our Asset Manager! The Asset Manager plays a critical role in managing vendor relationships, compliance, project oversight, contract administration, and supporting both property operations and retail/commercial leasing activities. This position requires exceptional organizational skills, strategic communication, and the ability to collaborate across various stakeholders to ensure smooth property management operations and adherence to ownership's objectives.

Asset Manager Responsibilities:

Vendor Management

  • Oversee the vendor onboarding process, including collecting and verifying documentation (cover sheets, insurance, W9, OFAC, and MN compliance).
  • Manage vendor agreements (one-time and service contracts) and ensure accurate tracking and uploading to ownership's portal.

Certificate of Insurance (COI) Compliance

  • Ensure COIs meet ownership's requirements and maintain accurate, updated records through regular tracking and uploading.

Project Management (with support from the Maintenance Director)

  • Plan and oversee CapEx and large-scale projects, including budgeting, reporting, and invoice oversight.
  • Manage insurance claim projects and ensure proper documentation and reporting.
  • Coordinate with consultants on scopes of work, bid reviews, and submission to supervisors.
  • Maintain and improve property infrastructure, including CCTV systems, access controls, and ButterflyMX.
  • Oversee project documentation, including photos, inspection reports, and other necessary records.

Contract and Agreement Management

  • Own and maintain the contract/agreement database for the property.
  • Monitor and renew expiring agreements in coordination with ownership.

Communication and Collaboration

  • Keep the Community Manager (CM) informed about property activities to ensure timely communication with tenants and employees.
  • Act as a liaison between ownership and property management to address operational needs and concerns.
  • Communicate with residents about emergencies or property-related issues.
  • Attend weekly L10 meetings and other stakeholder sessions.

Retail and Commercial Leasing

  • Collaborate with ownership and leasing agents to manage retail and office tenants.
  • Provide recommendations on lease amendments and assist in the development of new leases.

Property Operations and Maintenance Support

  • Assist the Maintenance Director with vendor agreements and project-related needs.
  • Oversee parking maintenance and handle CPED-related matters, including annual reporting and temporary easements.
  • Support property licensing, energy benchmarking, and energy rebate management.
  • Participate in property inspections and support day-to-day office tasks as needed.

Resident and Employee Engagement

  • Assist in planning and attending employee and resident events to foster community engagement.

Security Management

  • Support the CM in managing security vendor relationships and budgets to ensure a safe property environment.

Asset Manager Qualifications:

  • Proven experience in vendor management, project oversight, and property operations.
  • Strong understanding of contract administration and compliance requirements.
  • Excellent organizational, communication, and problem-solving skills.
  • Familiarity with property security systems (e.g., CCTV, access controls).
  • Knowledge of energy management and benchmarking is a plus.
  • Ability to multitask and collaborate across teams and with ownership.
