Summary:

This position will be responsible to provide administrative support three Senior Vice Presidents of Operations, Construction, Engineering and Optimization groups in our Dallas office.

Primary Responsibilities:



  • Draft and disseminates reports, projects, and other documents for internal and external recipients.
  • Serve as the point person and help with mailings, supplies, equipment, and housekeeping requests.
  • Schedules appointments and meetings, arranges travel, and prepares itineraries.
  • Coordinates training, special functions, meetings and/or conferences by coordinating room arrangements, refreshments and equipment/supplies.
  • Organize, track, and facilitate execution of incoming documents for signature by Manager.
  • Relies on experience and judgment to plan and accomplish goals.
  • Provides prompt, efficient, courteous service to both internal and external customers; maintains a high level of professionalism.
  • Maintains files and records.
  • Help prepare presentations for senior management.
  • Processes invoices and expense reports.
  • Performs other duties and tasks as determined by the leadership team.
  • Provide back up for front desk.


Requirements:

Education and/or Experience, Knowledge, Skills & Abilities:

To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily. The requirements for this position are listed below:



  • A High School Diploma or equivalent, Bachelor's degree preferred.
  • 0-2 years of experience required.
  • Proven administrative or assistant experience.
  • Excellent written and verbal communication skills with strong interpersonal skills.
  • Excellent organization skills with high level of attention to detail
  • Ability to maintain confidentiality.
  • Ability to work in a fast-paced environment.
  • Flexibility with ability to work in a team setting supporting several people.
  • Demonstrated proficiency in Microsoft Word, Excel and PowerPoint.
  • Proficiency with SharePoint, OpenText, and SAP applications highly desired


Working Conditions:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.



  • Usually, normal office working conditions.
  • Must be able to remain in a stationary position 50% of the time due to prolonged periods of sitting or standing.
  • Occasional overnight travel may be required.
  • Occasional visits to industrial/manufacturing settings, which may include exposure to various materials and chemicals, as well as extreme temperature conditions and loud machinery, and require appropriate personal protective equipment.
