Summary
The Event Coordinator will coordinate all logistics and executing Divisional Leader meetings throughout all Divisions. In this role, they will also assist in coordinating all logistics and executing any conference/events and or meetings that occur at Home Office. This role will be responsible for maintaining budget and keeping all divisional leaders abreast of their respective budgets. As the role progresses, the responsibilities will grow.
Responsibilities
- This role requires exceptional time management and adaptability skills with respect to event execution.
- Accountable to coordinate and execute all divisional and internal staff events based on Leadership's goals and strategies.
- Coordinate with vendors and internal staff to ensure accuracy and timeliness of guest lists, food and beverages, lodging, transportation, equipment, music, invitations, supplies, materials, personnel, and location reservation for each event.
- Work with marketing team to promote event across channels, including social media and website (if and when necessary)
proactively discuss concerns and plan for solution - Research possible vendors and negotiate contracts to stay within budget.
- Work with Divisional leader of POC to obtain approval on all costs.
- Manage all day-of event production from start to finish, participating on-site when needed. When participating off-site, remain available and engaged with staff.
- Exercise judgment to address unforeseen issues in a calm and productive way, proactively planning for any potential issues as much as possible.
- Manage post-event writeup, including opportunities for improvement to maximize ROI of events
- Assist in developing PowerPoint presentations for events when necessary.
- Assist with other internal projects and job-related duties as assigned.
Education and Experience

- Strategize: able to organize and prioritize effectively and efficiently as well as maintain excellent time management to manage multiple complex and time-sensitive projects at a time
- Harness Flexibility: able to be flexible to work overtime when needed; some travel if/when required.
- Prolonged periods sitting at a desk and working on a computer.
