The Executive Assistant to the VP, Tennessee Operations (TNO) Site Leader is a key position in our organization; the candidate should be looking to gain hands-on experience across functions through supporting key projects and key leaders within the organization. The ideal candidate is a positive influencer, proactive, approachable and professional with demonstrated capability to work effectively in a high-energy, fast-paced team-oriented environment. Time-sensitive situations and changing priorities require flexibility, adaptability and creative thinking. Our work is confidential, so discretion, judgment and professionalism are a must. This candidate should have strong interpersonal skills to work well with people at all levels, across multiple organizations and with leaders both in and outside of Eastman. The candidate needs to maintain patient and pleasant interactions with others, demonstrate a service-oriented attitude and remain calm under pressure. Candidate must show strong attention to detail and possess exceptional communication, organizational and interpersonal skills. Candidate should have flexibility that allows working outside of normal business hours on occasion.

In this role, you will:



  • Develop a working knowledge of Eastman Operations and businesses to contribute meaningfully to the team and our work
  • Proactively plan, organize and schedule the workday, including individual specific calendaring and calendaring for group events across the organization/site
  • Assist in developing presentations and communication strategies, marketing materials, project plans and metrics to sustain performance
  • Facilitate, plan and support workshops and transformation office meetings using any necessary teleconferencing and video conferencing equipment and applications; meetings can include regions outside the U.S. and require special consideration to accommodate time differences
  • Capture and communicate action items and routinely share progress relative to plan. Maintain follow-up system for daily meetings, workshops, agendas, deadlines, etc.
  • Provide oversight and support to project managers/stakeholders on critical initiatives to ensure deadlines are successfully met and keep team informed
  • Maintain calendar by arranging appointments, scheduling meetings, scheduling travel and resolving conflicts in a prompt, courteous and professional manner
  • Maintain and assemble background information for meetings
  • Receive and screen incoming telephone calls and generate outgoing calls
  • Process Outlook mail, postmeetings, identify and handle action items and due dates and respond on behalf of executive as appropriate
  • Arrange travel, detailed itineraries and trip files for international and domestic travel for the Vice President. Complete and verify expense statements upon return.
  • Organize travel and itineraries for visitors, including visiting international leaders
  • Welcome guests and make necessary arrangements for visitor passes, meeting rooms, working meals and refreshments, in addition to arranging escorts for visitors as needed
  • Prepare budget analysis and/or other reports by collecting and analyzing data

Qualifications

  • High school diploma or GED required. Post-secondary coursework or degree highly preferred.
  • Must have previous administrative experience, preferably supporting an executive
  • Valid driver's license required
  • Strong Microsoft Teams, SharePoint, Word, Excel and PowerPoint skills
  • Ability to work a flexible schedule, including weekends and holidays, as needed



Considered a Plus



  • 3+ years of Eastman TNO specific administrative experience and/or a working knowledge of Eastman Operations and businesses
  • Excellent organizational, interpersonal, oral and written communication skills
  • Exceptional attention to detail, with the ability to produce accurate, error-free work
  • Capable of maintaining discretion and confidentiality
  • Ability to handle and prioritize multiple tasks simultaneously in a deadline-driven, fast-paced environment
  • Bias for action & follow through skills
  • Patience and pleasant interaction with others; service-oriented
  • Networking skills
  • Outstanding ability to take initiative and assume responsibility for projects and tasks
  • High degree of professionalism
