The facilities service and support administrator is responsible for providing administrative support to the Maintenance and Facilities Department. At the direction of the VP of Maintenance they facilitate the operation of the department and manage the day-to-day functions of the office.


Description

Responsibilities



  • Assists in reporting/communicating with program staff and campus community.
  • Receive, review and may approve work requests to be entered into computer work management system.
  • Provide first level assessment of work requests and routes appropriately.
  • Operate and manage a complete computerized database of all work requirements, and inputs data, produces reports and schedules.
  • Coordinate with all supervisors and keeps facilities director informed of work plans and status of ongoing work.
  • Answers questions via phone, Teams or email regarding the status of open work orders.
  • Manages Campus switchboard and mail function
  • Monitors CMMS to ensure that all corrective and preventive maintenance work orders that are performed by Berkshire staff and/or outside contractors are properly documented on the work order notes.
  • Verifies that all completed work orders contain appropriate notes, costs and labor associated with the job. Interacts with and advises appropriate Manager when the input data appears to be inadequate.
  • Provide feedback to management team coming from the programs and campus community to the Maintenance team
  • Promote a good working relationship with Program Staff and campus community.
  • Provide graphs and charts from CMMS for reporting to VP and Senior Team
  • Coordinate and schedule work with outside vendors such as preventive maintenance and mandatory inspections
  • Preparation of RFIs, bid documents
  • Reviews quotes, proposals, leases, contracts and other documents prior to final review
  • Coordinates purchases for campus needs
  • Collects information from technicians and enters supplemental notes to work orders as needed.
  • Conducts periodic customer service assessments and tabulates results.
  • Maintains accurate records/files of all correspondence and business transactions.



Job Requirements



  • Minimum High School Diploma/GED required.
  • Minimum 1-3 years of experience in an administrative function, preferably within a facilities environment
  • Valid driver's license required.
