PURPOSE OF POSITION: Perform all accounting and administrative functions and lead Administrative team within the Lodging Reservations department.

RESPONSIBILITIES:
  • Perform accounting and administrative duties as required for the Lodging Reservations department
  • Responsible for recruiting, training, supervision, scheduling, and evaluation of Admin team members
  • Pay vendor invoices in a timely manner; these include but are not limited to OTA's, TA's, and transportation
  • Resolve invoice issues with vendors
  • Work with front desks on resolving charging issues, during and post departure
  • Answer both guest and front desk questions regarding charging issues before, during, and post departure
  • Ensure the consistent and timely management of shared email accounts for the department
  • Oversee the distribution of Resort Credit cards to qualifying bookings
  • Maintain appropriate coverage of the main Resort "switchboard" phone line, including scheduling staff and being available for calls as needed
  • Work with other Deer Valley divisions and departments on establishing new procedures when needed
  • Respond to Travel Insurance carrier in a timely manner with necessary information about claims
  • Collect payments from TO's and OTA's that are unable to provide payment at the time of booking or are using other payment methods outside of credit cards
  • Be knowledgeable about lodging promotions, nightly minimums, rates, and policies
  • Be available to answer questions and assist all Lodging Reservations team members
  • Actively participate and engage with fellow Lodging Reservations supervisory team members
  • Required to work in-office as needed
  • Communicate important information related to accounting and/or admin to the full Lodging Reservations team in staff meetings as needed
  • Receiving and paying invoices
  • Completing expense reports
  • Creating and receiving Purchase Orders
  • Applying for business licenses on behalf of homeowners under contract with Deer Valley
  • Other duties as assigned


QUALIFICATIONS:
  • Position requires a mature, dependable, flexible, team-oriented person who is able to stay calm under pressure
  • Must be punctual and reliable
  • Professional communication skills, both written and verbal, are required. Position requires answering phone calls and responding to emails using full sentences with proper grammar and punctuation
  • Ability to self-motivate, multitask, focus, and prioritize in a dynamic environment
  • Highly organized, accurate, and detail-oriented
  • Possess strong interpersonal skills to successfully interact with guests, vendors, departments, and staff
  • Requires extended hours of sitting or standing at a desk
  • Available for varied and extensive shifts as hours of operation and work volume dictate
  • Previous accounting experience required
  • Proficient computer skills required. Microsoft D365, Inntopia, and Maestro experience a plus
  • Willingness to search out information to provide guests, clients, and other staff with answers to questions


DATES OF EMPLOYMENT:
  • Year Round


PAY RATE:
  • Pay: $54,000 - 59,000 annually
