Administrative Assistant

Location: Birmingham, MI - Hybrid

Employment Type: Full-Time

Compensation: $28.00 - $38.00 per hour (Range applies to US candidates only) + Benefits/Variable Comp/Equity - Range may vary based on experience.

Summary

The Administrative Assistant serves as a key support resource for Senior Leadership within the go-to-market department. The responsibilities of this role include managing day-to-day administrative tasks, maintaining schedules, coordinating meetings, and supporting communication and organizational needs. This position requires strong organizational skills, professionalism, and the ability to collaborate effectively in a team environment.

Primary Duties and Responsibilities

Administrative Support:



  • Coordinate and organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Assist in arranging travel plans, including itineraries and necessary supporting documents.
  • Draft and edit correspondence and documents, ensuring accuracy and professionalism.
  • Process expense reports, invoices, and reimbursements promptly and accurately.
  • Assist team members with project-related tasks; provide general support to the team and departments.


Communication and Coordination:



  • Act as a liaison between senior leadership and internal teams, ensuring effective communication and follow-through on key initiatives.
  • Support smooth workflow by monitoring deadlines and priorities.



Meeting and Event Support:



  • Assist in planning and coordinating meetings, including scheduling, preparing agendas, and organizing logistics.
  • Take notes during meetings and distribute follow-up communications or action items.
  • Help organize team events, including securing venues, managing budgets, and coordinating vendors.
  • Assist with Ad hoc projects as needed.



Required Education and Experience



  • Bachelor's degree in fields such as (but not limited to) Business, Business Administration or equivalent work experience.
  • 3+ years of administrative experience preferably in a public organization.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling tools.

  • Knowledge of office management systems and procedures.

  • Excellent negotiation, communication, and interpersonal skills.
  • Ability to maintain the upmost confidentiality standards.
  • Excellent time management skills and ability to multi-task/prioritize work.
  • Strong attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience and interest in internal and external communications.
  • Attention to detail.



Supervisory Responsibilities



  • This position does not have supervisory responsibilities.



Travel



  • Regular travel is expected for this position, up to 25%.
