Senior Executive Administrative and Facilities

JOB SUMMARY: This position is responsible for providing advanced administrative and information management support to one or more of the most senior executives of the Company, as well as ensuring the smooth operation of the facilities in accordance with the Company's policies, practices, and procedures.
JOB ROLES AND RESPONSIBILITIES:
1. Serve as the primary point of contact for visitors and on-site executive leadership.
2. Manage correspondence, prepare research, and communication for the Senior Executive while acting as gatekeeper to assess and triage the requirements of the Senior Executive.
3. Manage and coordinate the Senior Executive's office and visitors, and perform other duties as deemed necessary.
4. Manage weekly, monthly, quarterly, annual, and periodic projects of a complex nature requiring independent decision-making and a high level of discretion.
5. Assist in the planning and physical relocation of employees within the Company's facilities.
6. Assist department manager with facilities' management tasks
7. Assist in the coordination of maintenance, update, and repair of office equipment, including equipment setup in meeting rooms.
8. Maintain postage meter and handle incoming/outgoing mail and packages
9. Verify invoices with packing slips for all purchases made.
10. Escort vendors while on-site.
11. Place simple inventory items in stock room and sort/deliver incoming mail, log tracking numbers, create outgoing shipping labels, etc.
12. Ensure compliance with HIPAA regulations and requirements.
13. Demonstrate Company's Core Competencies and values held within.
JOB SCOPE: This job works under minimal supervision in support of a Senior Executive on a variety of high-level work assignments of a confidential, sensitive, and complex nature with considerable discretion to execute job responsibilities. The incumbent is expected to possess a higher degree of business acumen as well as the capacity to influence others on behalf of the executive. Duties are standardized with defined procedures to accomplish assigned tasks, but the incumbent resolves routine questions and problems and refers more complex issues to higher levels. The work requires a high level of professionalism, responsibility, tact, confidentiality, and integrity due to frequent contact with executive management, internal and external senior-level contacts, and regular exposure to sensitive confidential information related to Company operations and financials. The quality of work output has potential impact on the Company name and brand. This role full-time onsite requiring attendance at our McLean, VA office Monday through Friday.
