Job Summary:

As an Administrative Assistant responsible for receptionist duties, accounting support, and human resources tasks, this role involves a variety of responsibilities that help ensure the smooth operation of general business functions on a daily basis. This role's schedule will be 8 am - 4:30 pm, Monday through Friday.

Essential Functions:



  • Handling incoming calls, directing them to the appropriate department, or taking messages.
  • Welcoming visitors, clients, or vendors in a professional, friendly manner and directing them to the correct person.
  • Sorting and distributing incoming mail and preparing outgoing mail or packages.
  • Coordinating schedules and details for customer visits.
  • Handle office tasks, such as filing, setting up for meetings, and reordering supplies.
  • Provide accounting and clerical support to the accounting department including preparing bank deposits, processing business transactions, and reconciling accounts.
  • Provide clerical support and administrative tasks in the human resources department including recruiting, employee onboarding, and employee record maintenance.
  • Maintains a favorable working relationship with all employees to promote a cooperative and harmonious working environment to facilitate positive employee morale, productivity, and continued improvement.

  • Ability to work with limited direction and supervision, while demonstrating good judgment and handling sensitive information with strict confidence and professionalism.
  • Ability to be proactive in identifying situations early and alerting the appropriate people with an accurate interpretation of the potential situation and recommending a solution.
  • Ability to learn computer applications as necessary for the position.
  • Must successfully complete any training or certification courses required to support or strengthen position.
  • Ability to read, interpret and follow verbal and written instructions, work procedures and other related materials.
  • Excellent verbal and written communication skills including strong customer service skills.
  • Must communicate appropriate information accurately and clearly as needed.



Minimum Requirements:



  • High School Diploma or GED and two years' experience as an administrative assistant or a related function.
  • Demonstrated advanced proficiency with MS Word, Excel, Outlook and Windows based databases.
