Reporting to the Vice President of Real Estate, this position provides a variety of administrative support and is detailed in the essential duties section of the job description. Essential Functions - (Performed by the incumbent himself/herself as opposed to those functions performed through subordinates. These functions should represent those that must be accomplished by the incumbent only.) Provides ongoing administrative support for the Vice President of Real Estate and Real Estate Representative(s), including duties such as the preparation and distribution of internal and external communications, message taking, travel arrangements, sorting and distribution of mail, maintenance and filing of appropriate departmental communications. Responsible for the timely preparation, maintenance and distribution of various departmental reports including the New Store/Store Relocation Report (ongoing updates), Lease Renewal Summary Report (ongoing updates), and Notice of Lease Expiration Form Tracking Report (ongoing updates). Effectively handles general departmental phone inquiries and responds and/or directs the inquiry accordingly as needed. Prepares and processes documents for Pro Forma requests for submission to the Division Financial Manager. Tracks completed requests through the signature process and files accordingly. Prepares and processes documents for inclusion in the Real Estate books submitted to Division Real Estate Committee for review and approval on every new/relocated store (approximately 30-50 packages per year). Monitors and tracks for Vice President of Real Estate the relocation process and/or the opening of a new store. This involves contact and follow up with District Managers, Landlords, Store Installations and Engineering. Responsible for the dispensing of various forms to District Managers for completion (e.g. 5 Year Plans, Notice of Lease Expiration Forms, Estimated Store Operations Forms, Fixed Capital Asset Requests Forms, Merchandise/Operational Profile Forms, etc.) Assist with field inquiries on repair responsibility. Assist with correspondences to Landlords to advise repair or maintenance issues which are Landlord's responsibility under the Lease. Produce "Demographics" report and "Proposed Site Information" research reports for new store, store relocation and store expansion projects, as requested by the Field or the Real Estate Department. Maintain Landlord information report. Responsible for other duties and responsibilities as assigned by the Division Director - Real Estate and the Real Estate Representatives. Sales/Retail/In-Store Positions including Reps & Drivers: "Job duties involve contact with customers, which may include minors; and access to cash and other payment methods, electronic equipment, personal information, store merchandise and other items of value, and such access may be supervised or unsupervised.
