Description
The Contracts Administrator plays an important role in the procurement and administration of contracts for engineering, architecture, planning, environmental, and construction projects, ensuring compliance with the client's policies, procedures, and other regulatory and state statutes. Working closely with the Senior Contracts Administrator, Project Managers, and other stakeholders, this position focuses on creating, managing, and coordinating changes to contract documents while supporting broader Project Control functions. As a key member of the Project Controls team, this role will also support other members of that team with tasks such as schedule management, invoice reviews, and document controls. All duties shall be carried out in compliance with the client's policies and procedures and state statutes. Responsibilities:
- Coordinate with Project Managers and stakeholders to plan, coordinate and support the execution of construction and consulting contracts.
- Draft, review, and manage bid documents, task orders, change orders, and other contractual documents.
- Ensure contractual compliance with the Airport Authority's policies, procedures, instructions, state statutes and other regulatory guidelines.
- Support the procurement process for engineering, architecture, and construction projects.
- Monitor and manage contract changes, ensuring accurate documentation and timely approvals.
- Advance and maintain contract records using project management systems like Procore and SharePoint.
- Support the Project Controls team by providing flexible assistance across multiple disciplines.
- Communicate effectively with stakeholders to address contractual and administrative challenges.
- Uphold confidentiality in managing sensitive contractual and financial information.
- Prioritize and complete tasks under tight deadlines while maintaining high attention to detail.
Qualifications
Qualifications Education:
- Bachelor's degree in business administration, public administration, construction management or a related discipline.
- Note: candidates without a bachelor's degree but with significant technical training and experience may be considered.
Experience:
- Minimum 3 years contracts administration or contracts management experience (planning, engineering/architecture design or construction projects).
- Minimum 3 years of project administration experience (planning, engineering/architecture design or construction projects).
Licenses and/or Certifications:
Knowledge, Skills, and Abilities Knowledge:
- Thorough understanding of various construction contract types and procurement processes.
- Comprehensive knowledge of contracting, finance, and construction terms.
- Familiarity with state statutes and compliance requirements for procurement and contract administration.
- Understanding of change management principles within contract administration.
- Knowledge of project management systems such as Procore and SharePoint.
- Awareness of construction industry practices and airport-specific project considerations (desirable).
Skills:
- Strong written and verbal communication skills for clear coordination with stakeholders.
- Proficient in drafting and reviewing bid documents, contracts, task orders, and change orders.
- Exceptional organizational skills to prioritize and manage multiple tasks effectively.
- High attention to detail to ensure accurate cost tracking and documentation compliance.
- Proficiency in contract tracking and document management within project management systems.
- Problem-solving skills to address contractual and administrative challenges.
Abilities:
- Ability to build and maintain productive working relationships with diverse stakeholders.
- Capability to adapt and provide support across various project control disciplines when required.
- Capacity to manage and ensure confidentiality of sensitive contractual information.
- Ability to independently review, process, and manage changes to contractual documents.
