GENERAL DESCRIPTION / PRIMARY PURPOSE:

The Marketing & Event Coordinator function will be responsible for helping to organize and coordinate up to forty (40) events annually in North America for both internal and external audiences. The events range from internal meetings and team gatherings to corporate projects like sport sponsorships, elementary school nutrition programs or other corporate-sponsored events. The role also covers administrative needs of the department and will assist with other floor and office needs. The ideal candidate will possess a passion and enthusiasm for creating unique and fun experiences for youth and adults alike.

MAJOR RESPONSIBILITIES AND TASKS/DUTIES OF THE POSITION:



  • Organize and set up events, primarily local in nature, but may also include trade shows and company-sponsored/department meetings, to include the following activities:


o Coordinate with the various internal and external parties involved according to event brief.

o Schedule meetings with internal or external groups to ensure progress of all parties.

o Manage on-site logistics and event execution, ensuring the success for smooth and effective local events.

o Build and maintain relationships with local retailers to secure product for events as needed.

o Negotiate with vendors for items including, but not limited to, catering, space, supplies, etc. for each event.

o Be available to other departments or divisions to support their event when assistance is needed.

o Prepare meeting materials as needed.

o Keep track of costs related to events and process invoices related to them.



  • Maintain adequate office supplies/equipment and provide administrative support as needed by the team.
  • Manage the courier accounts and organize timely shipment for various team members.
  • Monitor inventories in storage from various departments.
  • Assist with creating communications.
  • Prepare expense reports for the Chief Marketing and Sustainability Officer.
  • Perform other duties and special projects as assigned.

Required Skills

JOB SPECIFIC COMPETENCIES:



  • Ability to plan events with a high attention to detail according to event brief provided by either oral or written description with the intent to deliver to the satisfaction of the internal or external audiences.
  • Excellent time management skills to identify, prioritize, and complete tasks efficiently in a fast-paced environment within tight deadlines.
  • Ability to demonstrate problem solving skills and operate in high pressure environments, with the ability to resolve issues in the moment and manage unexpected changes or crises efficiently. Should be able to work with minimal supervision but have the foresight to understand when to escalate issues to management.
  • Ability to coordinate various teams, people and vendors successfully using excellent interpersonal skills that allow for successful communication and interaction within a team or group environment.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite including Word, Excel and PowerPoint,
  • Proven ability to use the internet for research for purposes of event needs.
  • Strong background in hospitality and customer service, including phone and email and personal etiquette with internal and external parties.
  • Knowledge of or experience in marketing a plus.


PHYSICAL REQUIREMENTS:



  • Ability to sit and use a computer, answer phones and utilize a variety of office equipment for extended periods of time.
  • Ability to attain, retrieve from ground level, maneuver and position self to set up a booth and distribute merchandise to the public.
  • Ability to walk an extended distance and stand for extended period of time, move about inside the office or outside during events.
  • Ability to lift up to 20 lbs to waist level
  • Ability to observe details, identify colors and color hues accurately.


WORK HOUR & TRAVEL REQUIREMENTS:



  • Fulltime position of 40 hours per week of scheduled 8 hours each day. Events may take place during weekends or outside of typical working hours and require the ability to work after/before hours.
  • Will regularly require travel locally and regionally and occasional travel to events within North America.

Required Experience

EDUCATION & CERTIFICATION:



  • High School diploma or GED certificate required.
  • Bachelor's degree in marketing or related field is a plus.
  • Event planning certifications preferred.
  • Valid driver's license to utilize rental vehicles for transporting mascots or other supplies to company events.
