JOB SUMMARY
Involves developing, promoting and supporting the facility operations and membership services for the department. Works on strategic aspects of operations including a robust student staff and is responsible for planning, scheduling, budget, and supervision.
APPOINTMENT INFORMATION
Budgeted Salary: $70,000 - $80,000/annually. Salary commensurate with skills, qualifications and experience.

JOB DUTIES
45% - Facility Operations
- Manages and supports all aspects of a highly complex intercollegiate athletics and recreation program.
- Executes management of passenger van fleet of the Athletics & Recreation Department, including key custody, institutional compliance, and regular maintenance. Drives fleet vehicles for maintenance, routine service, and parking, etc.
- Assists and executes facility and vehicle key management and custody systems.
- Manages and maintains software and hardware systems that support emergency preparedness, safety, department personnel, and general operations of the department.
- Contributes to and supports department financial operations and goals through daily reconciliation, regular budget maintenance, and annual reporting.
- Responsible for maintaining operational hours as well as staffing for the East Field House Complex and West Field House, respectively.
- Ensures accurate information related to facilities and operations is distributed to internal and external stakeholders when necessary.
- Contributes to the success of athletics game day operations on a regular, rotating basis through collaboration with other administrative and student staff in the Athletics & Recreation Department.
- Collaborates successfully with department personnel at all levels (coaches, administrators, part-time instructors, volunteers) to successfully execute departmental operations.
- Develops and cultivates relationships across campus with a variety of constituents.
- Coordinates internal and external facility reservations and events with other department professional staff.
25% - Personnel Management
- Responsible for the recruitment, hiring, onboarding, scheduling, training, retention, and development of approximately 100 student personnel.
- Ensures a diverse, representative workforce that reflects the student body.
- Responsible for the daily management of student staff to ensure effective and efficient operation of the workforce and ultimately the department.
- May drive staff and athletes using University or personal vehicles between athletics locations on and off campus or to athletics events. May be responsible for transporting team members to locations off site, such as the Kaiser Permanente Arena or the airport.
- Ensures safe, inclusive, and professional working conditions conducive for student employment. Implements health and safety policies and, as appropriate, personnel policies.
- Supports and motivates employees in an atmosphere that cultivates holistic student development of employees.
- Provides guidance and training opportunities for student employees.
- Develops and maintains employee records.
15% - Member Services
- Manages all aspects of comprehensive membership services program.
- Develops and contributes positively to community relations and serves a wide diversity of constituents.
- Establishes and maintains annual financial reporting related to membership, including goal-setting for sustainable growth.
- Serves as primary point of contact for customer service inquiries from members or other issues that arise during internal and external activities.
- Proposes and executes membership sales procedures, payment and ID card operations; guest pass sales procedures including waivers and payments.
- Develops and maintains customer-service oriented processes and equipment necessary for locker rental and equipment checkout programs.
10% - Financial Reconciliation
- Executes daily reconciliation and manages all aspects of online sales, cash, checks, and gifts to the Athletics & Recreation Department according to University standards.
- Administers all cash handling functions for multiple work stations in accordance with Athletics and Recreation and University BUS-49 policies with the department Business Office.
5% - Other Duties As Assigned
- Participates and contributes to departmental and when appropriate, campus committee work.
- Proposes revised standard operating procedures and guidelines.
- Develops and administers staff training on relevant policies and procedures, risk management, emergency action plans, and internal communications;
- Partners with other units to facilitate appropriate training for all staff.
- Travels for conference attendance by driving university, rental, and/or personal vehicle.
REQUIRED QUALIFICATIONS
- Bachelor's degree in related area and / or equivalent experience / training.
- Advanced knowledge of program activity and best practices.
- Problem-solving skills.
- Interpersonal skills sufficient to work with a diverse team and ability to supervise and motivate student staff.
- Demonstrated fiscal management abilities.
- Ability to multi-task and work with frequent interruptions.

PREFERRED QUALIFICATIONS
- Master's degree in related area and / or equivalent experience / training.
- Proficiency in the use of computer applications relevant to job duties, including Microsoft office suite, Google Workspace, Innosoft Fusion, IMLeagues, DoSportsEasy, Whentowork.com, Slack, FreedomPay, Formstack, and/or Adobe Creative Cloud.
SPECIAL CONDITIONS OF EMPLOYMENT
- Selected candidate will be required to pass a pre-employment criminal history background check.
- Selected candidate must pass the employment misconduct disclosure process.
- Must possess CPR/First Aid/AED certification or have the ability to obtain it within 60-calendar days of hire.
- Must possess a valid license to drive in the state of California and be able to participate in the Department of Motor Vehicles (DMV) pull notice program.
- Ability to work long periods of time at a computer with or without accommodation.
- Ability to work in conditions of variable temperature/weather with possible exposure to strong, unpleasant odors, high levels of noise and vibrations, and exposure to dust and allergens.
