Position Description

Performs responsible and complex duties associated with a specialized function of a section of clerical employees. A thorough knowledge of policies, procedures, and methods for the area of responsibility is required. Initiative and independent judgments are frequently exercised in formulating procedures or methods, and in program coordination. Work is performed under general supervision within University policies and procedures. Job performance is based upon overall operation effectiveness.

About the Department and/or College

Major/Essential Functions


  • Administrative Support including: answering and directing phone calls, emails, and general inquiries; greeting and assisting visitors; managing office supplies, ensuring stock levels are maintained; scheduling meetings.
  • Clerical Duties including: preparing, proofreading and distributing documents, memos, and reports; maintain accurate and organized filing systems - both digital and physical (when necessary); assist with data entry, basic recordkeeping tasks
  • Event Support including: assisting with preparation of materials for events, meetings, or screenings; coordinate logistics for on-site or community events (e.g. set up, sign-in sheets).
  • Financial Assistance including: processing requisitions/purchase orders/invoices; compiling receipts for purchasing card expense reports; and prepare pre and post travel reports using Chrome River under guidance of the department finance office.

Required Qualifications

Proficiency in written and mathematical processes as may be reflected by the completion of high school or the equivalent. Two years progressively responsible clerical experience. Additional education and/or related experience to equal two years may substitute on a year for year basis.

Preferred Qualifications


  • Experience working in an office or administrative environment.
  • Familiarity with public media or nonprofit administration.
  • Basic knowledge of financial processes (e.g., invoices, purchase orders).
  • Knowledge of TTU systems: Chrome River; TechBuy; Encumbrance Release System; Budget Revision System; Cognos Budget Reports; FiTS

Occasional Duties


  • Special projects support as needed, such as pledge/fundraising campaigns and grant deliverables.
  • Assist with tracking departmental budgets and expenses.
