DEFINITION

Under supervision, to perform a variety of clerical and office support duties and to perform related work as required.

CLASS CHARACTERISTICS
The Records Clerk Extra Help Part-Time classification is designated in the Police Department. Incumbent's access computer generated information to write reports, maintain City records, and respond to public information requests.

Examples of Duties

Under direction, assigned to perform a variety of technical and confidential law enforcement office support services including, but not limited to answering phones; public service in person and by telephone; recordkeeping; information processing requests including accessing and interacting in a responsible manner with information generated from the City and other law enforcement related computer files, databases, documents, and software; typing; compliance with the California State Law requirements relating to arrest and confidential records; operate City vehicles to perform court runs to various courthouses, City Attorney's office, other law enforcement agencies and training facilities, to attend local and out of area training, and to complete department errands needed for the operation of the facility; and perform related work as required.

Typical Qualifications

LICENSE REQUIRED

  • Possession of a valid California Driver's License and a good driving record.
EDUCATION AND EXPERIENCE
Education:
  • High School diploma or equivalent.
Experience:
  • A minimum of six (6) months of responsible clerical work experience.
Desirable Experience:
  • Clerical work experience for a government agency, municipality, or closely related work experience.
QUALIFICATIONS
Knowledge of:
  • Basic computer terminal operating methods and office software;
  • Recordkeeping methods;
  • Modern office methods and procedures;
  • English usage, spelling, grammar, and punctuation;
  • Basic mathematics;
  • Filing systems and procedures;
  • Appropriate safety precautions and procedures.
Ability to:
  • Receive and give information over the telephone or in public in a courteous manner;
  • Write legibly;
  • Perform basic mathematical calculations;
  • Perform general clerical work involving the use of office equipment;
  • Sort and file accurately and locate materials in files;
  • Maintain accurate records;
  • Type accurately at the rate of forty-five (45) net words per minute;
  • Operate standard office equipment;
  • Understand and carry out oral and written instructions;
  • Establish and maintain effective relationships with those contacted in the course of work;
  • Responsible for maintaining a high degree of confidentiality;
  • Operate a vehicle observing legal and defensive driving practices.

PHYSICAL DEMANDS AND WORKING CONDITIONS
  • Strength: Minimal work-lifting, carrying and/pushing 25 pounds maximum with infrequent lifting and/or carrying of objects weighing up to 25 pounds.
SELECTION PROCESS

Applicants must meet each qualification for the position at the time of application submission. All applications will be reviewed based on the necessary employment standards for the position. Selection shall be made from those applicants who submit a complete employment application, supplemental questionnaire and valid typing speed documentation, meet the position requirements, receive a passing score on an initial application screening and receive a qualifying score on an oral interview, weighted 100%. Oral interviews for the position will be administered in the City of Clovis. As determined by the City and at the City's expense, successful candidates shall be required to complete and pass a Personal History Questionnaire, a polygraph or voice stress examination, an extensive background investigation, a medical examination, and a drug/alcohol screen. Possession of a valid California Driver's License and good driving record will be required prior to hire. Proof of citizenship or eligibility to work in the U.S. will be required at the time of hire.
