About the Job: The Administrative Assistant for the Community & Government Relations team is responsible for providing comprehensive administrative and logistical support to the Community & Government Relations department, ensuring smooth operations and effective communication with internal and external stakeholders. This position reports to the Vice President of Community & Government Relations or designee. What You'll Do: Administrative Support:
- Assist multiple department staff members in managing calendars and scheduling appointments, making travel arrangements, and preparing expense reports.
- Process invoices and assist with departmental budget tracking.
- Coordinate meetings, conferences and special events, including venue booking, catering and material preparation.
- Ensure accurate and efficient data entry and records management for the Vulcan Materials Company Foundation and Political Action Committee.
- Prepare correspondences, reports, presentations and other documents that often involve sensitive information. Such preparation includes proper and precise formatting, and proofreading.
- Process incoming and outgoing communications.
- Maintain filing and archival systems, both electronic and physical, ensuring accuracy and confidentiality.
- Order office supplies and equipment.
Community & Government Relations Support:
- Assist with the planning and execution of community outreach programs and initiatives.
- Coordinate logistics for meetings with community leaders, government officials and elected representatives.
- Prepare briefing materials and presentations for community and government meetings.
- Maintain accurate contact information for key relationships with internal and external stakeholders.
Communication and Coordination:
- Establish working relationship with other departments and external parties. This role plays a key part in facilitating relationship with community organizations government agencies and elected officials.
- Greet and escort visitors.
- Answer and direct phone calls, take messages and provide information as needed.
- Maintains confidentiality of sensitive information.
Other Duties:
- Assist with special projects as assigned.
- May perform basic research tasks, gather and analyze data related to community and government relations, communications and sustainability projects.
- May provide support for company events and activities beyond the CR/GR department, such as board meetings or employee relations functions.
- Perform other related duties as required.
Qualifications
Skills You'll Need:
- High school diploma or equivalent required; Associate's degree in Public Administration, Communications or related field preferred.
- Minimum of 2 years' experience in an administrative support role, preferably in a government, non-profit or corporate environment.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Professional demeanor and excellent customer service skills.
- Ability to maintain confidentiality and discretion.
