Job Description

PURPOSE AND SCOPE:

Under limited supervision, the Specialist IV, School Partnerships and Academic Success maintains academic room and lab schedules using iStar, Excel and specialized room scheduling software (25Live Pro). Tracks room usage, room assignments and provides routine reports. Communicates regularly with various departments on campus. Additional responsibilities may include coordination functions and/or general administrative, operational, and organizational support functions for School partnerships and Academic Success Center departments. Typical coordination functions may include tracking, ordering, and delivering supplies, assisting with events planning or set-up, assisting with tracking budget expenditures, answering phones, and greeting visitors, etc. Other support functions may include assisting Faculty with a variety of functions as needed in the active learning programs.

ESSENTIAL JOB FUNCTIONS:

  1. Coordinate with internal customers at various levels to accommodate all classroom, meeting room, or other facility room requests using room-scheduling software (25Live Pro) and iStar; serve as a resource for all room-scheduling issues, responding to user questions and inquiries through telephone, e-mail, oral, and written forms of communication
  2. Provide support and backup when necessary for campus-wide 25Live Pro room scheduling
  3. Build, maintain, and update room/facility inventory records and database
  4. Create, analyze, and provide routine reports on room assignments and utilization and helps with identification of trends and opportunities to improve service
  5. Operate and maintain a variety of complex software and database products; troubleshoot problems or refer more complex problems to appropriate technical staff
  6. Develop reference materials related to 25Live Pro and the overall strategy and methodology of room utilization
  7. Provide administrative and/or operational support to personnel within assigned area
  8. Run a variety of reports/queries requested by internal contacts for their use of tracking data
  9. Organize and coordinate with administration, faculty, department heads, community organizations, and other internal and external customers to accommodate classroom, meeting room, or other facility requests using software such as 25Live Pro, iStar, and iServiceDesk Maintenance Request System. Includes completing Facility Usage Agreements and invoicing for external customers for facility rentals
  10. Attend a monthly meeting (with LSC System staff in Enterprise Applications) reviewing new updates and processes that may be implemented in the 25Live Pro software. Advising System Office on what processes are used on campus and what updates/processes are needed
  11. Advising/Updating internal customers with regards to the new updates and changes being made to the room scheduling software
  12. Acquire and process information using complex mental processes, continually upgrading expertise by requesting professional development and attending conferences and workshops, and participating in vendor-supported training
  13. Provides administrative support to the division, including but not limited to composing correspondence from verbal direction or knowledge of the organization, remaining active in planning, analysis, and revision of department schedules and calendars, arranging meetings, and maintaining department documentation and files
  14. Manages office supplies, including tracking supply usage, maintaining appropriate levels of supplies, preparing and processing requisitions, verifying receipt and distribution of supplies, and submitting documentation for appropriate payment of requisitions
  15. Responsible for other reasonable related duties as assigned

PHYSICAL ABILITIES:

The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.

WORK SCHEDULE AND CONDITIONS:

  • Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone, and other general office equipment
  • Interface with internal and external contacts as needed to carry out the functions of the position
  • Work is performed in a climate-controlled office with minimal exposure to safety hazards

REQUIRED QUALIFICATIONS:

  • High school diploma or GED and at least 5 years of experience, or an equivalent combination of education and experience
Salary

Hiring salary range is $36,057 - $41,466.

Lone Star College provides a hiring salary range for all posted full-time non-faculty positions. Where your salary offer would fall in that range is determined by your related experience and education. Should you receive an offer of employment from Lone Star College, the resume submitted in the application process will be utilized to calculate your salary offer.
