Job Summary:
The Office of Academic & Career Success (OACS) is responsible for leadership and coordination, training, communication, assessment, advocacy, and technology serving the campus-wide advising, career services, and learning support communities. The person in this role will support the career services community, and all students, at UW-Madison through coordination, training, and ongoing technical support of the various campus-wide career services enterprise systems, including, but not limited to: Handshake, Big Interview, and 12twenty.
These systems are critical to our efforts to support all students in their career development and career planning. A key aspect of the work of this position is to ensure that all students have clear access and training on the utilization of Handshake, a system which connects students with employers, career fair opportunities, career development planning workshops, and more. Developing promotional content and materials that can be delivered directly to students, as well as through the several career services offices on campus, this position will ensure resources and training materials remain updated and relevant to the needs of all stakeholders.
The Assistant Director for Career Services Technology will also lead career services enterprise system promotional and education efforts by designing, facilitating, and executing training opportunities for both new and continuing staff in their work with students, prioritizing student's career development planning and career outcomes. The individual in this role will be responsible for researching new technologies on behalf of the career services community and advocating for appropriate process changes and improvements for UW-Madison students as their needs grow and change. The incumbent would either have or would develop subject matter expertise in career services activities and would also have or develop technical and analytical skills to support the technology and reporting/data needs of OACS career services leadership, as well as of the broader career services community and students.
Supporting career services technologies within UW-Madison's large, decentralized career services structure will require the person in this role to be comfortable building strong partnerships, leading discussions, and facilitating decision-making within groups that may have competing needs or priorities. The Assistant Director for Career Services Technology will listen for input and gather feedback that will inform strategic decisions on behalf of the entire career services community, and the tens of thousands of students at UW-Madison who utilize career services. By remaining aware of student, staff, employer, and stakeholder needs, the individual in this role will play a central role in improving access to, and effectiveness of, all career services technologies.
The Career Services Coordination Team within OACS is committed to increasing equitable career experiences and outcomes for all students through the support and training of staff, effective promotion and education of resources to students, and campus-wide leadership through a collaborative and facilitative approach. Knowledge of student career development and previous experience with career services enterprise systems may be helpful, but isn't required. A sense of curiosity, desire to improve the student experience, and being able to understand the connections between students and technology will benefit the candidate.

The Office of Academic & Career Success (OACS) is part of the Division for Teaching and Learning (DTL) along with the Center for Teaching, Learning, and Mentoring (CTLM), the Wisconsin Institute for Science Education and Community Engagement (WISCIENCE), the Morgridge Center for Public Service, the Rebecca M. Blank Center for Campus History (CCH), Indigenous Education/Our Shared Future, and the Student Learning Assessment (SLA) office.
Responsibilities:
Provides management and oversight for instructional design, technology, and/or development functions for a unit, division, or institution. May provide instructional design, technology, and/or development services directly to faculty, staff, and other customers. May supervise staff and manage related budgets.
- 15% Develops and maintains knowledge of the specific and unique needs of the unit, division, or institution. Develops or assists with the development of strategic planning initiatives and objectives
- 10% Manages a portfolio of instructional design and/or technology services and support. May recommend, test, and audit selected learning technologies and/or methods
- 10% Provides effective project management and overall coordination of project teams to meet deadlines
- 20% Serves as the subject matter expert and unit liaison to internal and external stakeholders providing operational and strategic information and representing the interests of the unit, division, or institution
- 15% Provides instructional design and/or technology services and support directly to faculty, staff, or other customers
- 5% Advises unit staff in the areas of learning theory, instructional design models, assessment, and instructional methods
- 5% Manages instructional equipment and supplies
- 5% Serves as a team member of the Office of Academic & Career Success, attending relevant meetings, professional development, and engagement with OACS program
- 15% Develop training and educational materials for use by staff and students related to career services technology programs
Tasks:
- Serve as UW-Madison subject matter expert in career services enterprise systems and provide training and solutions to other users at UW-Madison.
- Create resources for students to ensure student's ability to accessing and use career services enterprise systems, impacting student success and career development planning
- Assist in resolving high-level technical and strategic system issues, relying on subject matter expertise, as well as the technical expertise of DoIT Academic Technology and the customer and technical support of each vendor.
- May liaise with software-appointed Relationship Managers on behalf of the institution, facilitate connection to other career services staff, and elevate needs or concerns of the community.
- Effectively communicate enterprise system updates, issues, and resolutions with institutional stakeholders.
- Lead campus-wide Handshake Super Users Group, planning and facilitating regular meetings, providing structure and project management for the group's work.
- Lead onboarding and education efforts for all career services enterprise systems for staff and students in the form of training workshops, Canvas courses, newsletters, individual consultations, and/or written and video material.
- Create, effectively communicate, and document official policies, processes, and workflows for Handshake and other career services technologies to all appropriate stakeholders.
- Facilitate meetings, discussions, and decision-making related to career services technologies with a variety of committees and stakeholders in a productive and consensus-building manner.
- Create additional Handshake resources that promote awareness and understanding of Handshake to students, staff, faculty, and employers.
- Collaborate with OACS Communications Team to create, maintain, and distribute print and digital marketing materials that promote and educate staff, faculty, students, and other stakeholders about available career services technologies.
- Keep apprised of national trends, best practices, strategies, and updates related to our various career services enterprise systems.
- Collaborate with the OACS Career Services Coordination Team on strategy and decisions for UW-Madison's career services community.
- Attend OACS internal meetings, including professional development opportunities, and participate in OACS-wide events.
