SUMMARY

Provide key strategic support for Alliant Leave Advantage (ALA) program, including coordinating ongoing discourse and meetings between/among insurance carrier partners and the ALA team members, providing administrative support to the ALA team, including tracking insurance carrier partner requests and communication, distributing key client communications, developing and maintaining document retention protocol, coordinating with other Alliant support teams to maintain and update internal ALA website, and formatting key client facing and internal documents, among other duties. Perform all duties in accordance with all company policies and procedures, and all federal, state, and local laws relevant to the job duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES

* Works with ALA team and Alliant core teams on client disability and leave administration RFPs, including establishing and supporting a standardized RFP process, tracking RFP results, and reporting to carriers.
* Coordinates with insurance carrier partners in all aspects of partnership including tracking ALA requests for proposal, reporting to insurance carrier partners on RFP statistics, scheduling remote and in person meetings.
* Manages ALA team calendars, requiring interaction with both internal and external management and assistants to coordinate a variety of complex meetings.
* Processes incoming and outgoing communications (phone, email, etc.) from insurance carrier partners, ALA team members, and Alliant core team members, and responds to inquiries regarding scheduling and other administrative tasks.
* Processes inquiries from core Alliant team about ALA support and service, or other client leave related requests, including triaging urgent matters and distributing requests to appropriate ALA team members, conducting any necessary initial research or inquiry from the core Alliant team, coordinating review with stakeholders, and gathering required information from different resources.
* Facilitates completion of various tasks, including sending template e-mails, developing template presentations, populating other standard templates, and initial drafting of statement of work documents.
* Assists with preparation of correspondence, presentations, and spreadsheets, including proofreading for formatting, punctuation, and grammar.
* Finalizes and sends weekly communication to internal and external stakeholders.
* Updates and maintains internal ALA website, as well as maintaining relevant client information and leave compliance information using Salesforce.
* Performs periodic audit of documents and databases and helps resolve deficiencies and organizes documents.
* Interacts with both external and internal stakeholders to support requests for ALA services
* Assists with insurance company billing, including working with accounting and EB systems professionals to determine certain metrics for billing and provision of bills to insurance carrier partners
* Performs administrative duties and periodically assists with special projects.
* Complies with agency management system data standards and data integrity (enters and maintains complete and accurate information).
* Performs all duties in accordance with all company policies and procedures, and all federal, state and local laws, wherein the Company operates.
* Performs other duties as assigned.

QUALIFICATIONS
EDUCATION / EXPERIENCE

High School Diploma or equivalent combination of education and experience

One (1) or more years of related administrative or general office experience

SKILLS

Excellent reading comprehension, and verbal and written communication skills
Excellent problem solving, organization, and prioritization skills
Ability to work within a team and to foster teamwork
Ability to take initiative and work independently
Ability to design and implement process
Proficiency in Microsoft Office suite, and Adobe PDF
Proficiency in Salesforce is a plus, but not required
